International Operations & Office Management Specialist



Your responsibilities

  • Warm, professional greeting of guests - you will be the face of our company.
  • Active support in coordinating administrative processes and day-to-day office activities.
  • Ensuring smooth document flow for our entities, including gathering signatures for contracts, invoices, and correspondence.
  • Organizing and managing traditional and virtual offices abroad: liaising with service providers, processing payments, and providing administrative oversight.
  • Maintaining control files and registers, such as expenses and leave records.
  • Coordination and oversight of international bank accounts.
  • Monitoring payment flows - verifying balances, meeting deadlines, and ensuring budget compliance.
  • Executing payments to international contractors and managing operational cash needs.
  • Collecting and forwarding complete documentation for financial audits and reporting.
  • Close cooperation with accounting firms and legal partners in foreign jurisdictions in Europe, but also South Africa, Zambia, Tanzania, and Argentina.
  • Independently sourcing offers and collecting proposals from external vendors and subcontractors.
  • Verifying external service costs - monitoring market rates and actively seeking counter-offers to optimize costs.

Our requirements

  • Fluent English - essential for daily business communication with partners around the world.
  • Minimum 2 years of experience in a similar role within an international environment.
  • Strong intercultural communication skills and comfort working across different markets.
  • Accuracy, reliability, and full ownership of assigned processes.
  • Excellent task prioritization skills and a proactive approach to operational duties.
  • Proficiency in MS Office and Google Workspace.
