Trade Spend & Admin Specialist

About the role

As a Trade Spend & Admin Specialist within Export Markets, you will play a key role in supporting the Cluster Manager, Channel Managers, and Trade Spend Coordinator. You’ll be responsible for collecting and verifying trade spend documentation, managing SAP entries, and providing administrative support to the commercial team.

Role Responsibilities

  • Collection and verification of all backup documents for different processes.
  • Technical Credit note (claims) issuing in system.
  • TPRM management.
  • Tracking of contracts in all the stages.
  • Collecting and storage of all documents related to business operations within the Cluster.
  • Administrative support to commercial team and Cluster manager.
  • Acting as a key contact point between departments, senior management, and external stakeholders regarding contract and administrative matters.
  • Supporting internal teams in ensuring all contractual obligations and documentation are fulfilled.
  • Handling administrative tasks related to contract management, approvals, and documentation archiving.
  • Monitoring deadlines and ensuring timely execution of agreements.
  • Preparing reports, summaries, and presentations for management regarding contract status and administrative processes.
  • Identifying potential risks, issues, or delays and escalating them when necessary.
  • Ensuring that all procedures comply with company policies and regulatory requirements.

Basic Qualifications

  • Bachelor’s degree in Economics, Business Administration, Sciences, or Engineering (Master’s/MBA preferred).
  • Fluent in English (must-have), Russian is a plus.
  • At least 3 years of experience in Sales, Business Administration, Trade Marketing, or Trade Spend roles – preferably in Consumer Healthcare or FMCG.
  • Strong financial acumen with digital capabilities and advanced Excel skills.
  • Excellent problem‑solving and analytical abilities. Quick and effective decision‑making skills, especially under time pressure.
  • Skilled in stakeholder management and strategic influencing.
  • Collaborative mindset with a strong sense of team spirit and solution‑oriented approach.
  • Experience working in multicultural and multinational environments.
  • High sense of responsibility and ownership of assigned tasks.
  • Strong attention to detail and accuracy in documentation and communication.
  • Solid organizational and time‑management skills.

The role can be based either in Hungary/ Budapest or in Poland/Warsaw.

Please note this is a temporary, fixed‑term role.
