Human Resources Specialist – OneRail’s Technology Hub - Krakow, Poland

Responsibilities & Specific Accountabilities

  • Ensure seamless payroll administration and guarantee precise execution of all payroll‑related payments in close partnership with Finance. Manage administration, preparation, review and approval of monthly payroll calculations under supervision of Senior Manager, HR Operations EMEA, including Social Security responsibility for Poland.
  • Provide support, guidance and recommendations on potential new provisions and actively participate in bi‑weekly EMEA team meetings.
  • Implement and adjust payroll elements in case of updates or new legislation.
  • Maintain, review, document changes and update HR Operations procedures for assigned countries; provide regular recommendations for alignment or updates.
  • Address and manage all payroll and benefits administration questions from Finance, employees, line managers and HRBP’s.
  • Responsible for affiliations, terminations, updates to employee data, verification of monthly contribution invoices, annual renewal exercises for all assigned EMEA benefits programs; support Total Reward team with new plan implementation and ensure benefit‑in‑kind/payroll deductions processed correctly.
  • Follow‑up on administration & compliance of various allowances (housing, schooling, internet, car wash, etc.) and insurance claims if no company plans are in place.
  • Full management of absences within assigned countries: ensure entitlements align with local legislation, reporting through payroll, and myProtime; address absence‑related questions (maternity, paternity, sickness, special leaves) and propose new solutions.
  • Manage any unplanned or ad‑hoc payroll and benefits related projects within the assigned EMEA scope (acquisition, change of entity, new benefit plan).

Key Position Requirements

Qualifications

  • Minimum bachelor’s degree or equivalent experience.
  • Minimum 3 years HR experience with payroll and benefits administration.
  • Knowledge of Polish labour law and any other EMEA employment legislation is an asset.
  • Fluent in Polish & English; other European languages are an asset.
  • Advanced knowledge of MS Office (especially Excel); knowledge of a time‑management system is a plus.
  • Experience with enterprise HR information systems; agility to learn new systems.
