Responsibilities

  • Overseeing initiation and termination of cooperation, including resignations, administrative formalities, and equipment return control
  • Handling Inquiries and Reminders
    • Managing ongoing tasks such as timesheet completion, training, or invoice reminders
  • Ensuring accuracy and completeness of information in systems like SCM, Searaia, Jira, and Timesheets
  • Employee and Contract Management
    • Managing transfers, salary adjustments, contract extensions, and annex preparation
  • Compliance with Open-Source Policies
    • Ensuring adherence to company guidelines on open-source software usage
  • Document Corrections and Updates
    • Making amendments and updates to documents as per guidelines.
  • Verifying and processing submissions related to business travel and on-call duties
  • Document Preparation and Oversight
    • Preparing and managing SOWs, contracts, and other required materials.
  • Consultant Communication and Support
    • Contacting consultants and supporting ongoing center tasks.
  • Service and Project Management
    • Overseeing and maintaining service and project lists.
  • Presentation and Summary Preparation
    • Preparing summaries, presentations, and providing administrative support to the DM and Head of CoE.
  • Report Analysis and Insights
    • Analyzing reports to provide actionable insights.
  • Integrated Management System Compliance
    • Adhering to policies and standards of the Integrated Management System

Requirements

  • Proficiency in English
    • Excellent command of English at a minimum C1 level in both written and verbal communication
  • Relationship Building Skills
    • Ability to establish and maintain long-term business relationships with internal and external stakeholders.
  • Proactive Work Ethic
    • Demonstrates initiative and openness in executing tasks with minimal supervision
  • Organizational Expertise
    • Strong organizational skills, with the ability to prioritize tasks effectively in a fast-paced environment
