Overview
Service Administrator position at Kongsberg Maritime CM Sp. z o.o. is based in Gdynia and supports our Business Unit in Finland. You will play a key role in supporting the Field Service department by managing essential business support processes. Your responsibilities will contribute to accurate invoicing and smooth coordination between service delivery and financial operations.
What will you do?
- Travel Claims and Expenses Management – review and verify travel claims submitted by field staff, ensure compliance with company travel policies, coordinate with Finance for timely reimbursements, and maintain accurate records of travel-related expenses.
- Field Service Data and ERP Processing – collect and validate timesheets from field service teams, prepare service cost calculations (labor, travel, materials), and enter relevant cost and sales data into the ERP system. Maintain accuracy and timeliness to support financial reporting, project tracking, and monthly closings.
- Invoicing and Documentation Support – issue accurate and timely invoices to customers based on completed field service work; handle customer queries related to invoicing and provide necessary documentation (e.g., service reports). Provide general support to Finance as needed.
- Contribute to continuous improvement by identifying areas for process and system improvements and participating in the company’s development.
You Are The Right Person For This Position If
- You have experience in a similar position, especially in issuing invoices and settling business trips.
- You have graduated or are completing university studies (background in finance, economics, or related field is a plus).
- You are comfortable using MS Office tools, particularly MS Excel at an intermediate level.
- You speak English at a level that allows you to communicate freely (minimum B2).
- You are curious and enjoy understanding how things work, especially solving small operational puzzles.
- You take initiative and can work independently while knowing when to ask questions or seek support.
- You value clear communication and adapt your style to different cultural expectations.
- You like having ownership of tasks and deliver accurate and well-organized work.
