Overview

As the Payroll Senior Specialist, you will play a critical role in leading the payroll services for our newly created SAP MPS (Managed Payroll Services) and BPO (Business Process Outsourcing) service organization. This role includes payroll delivery assurance with high‑quality operational support across various areas, including continuous payroll through the payroll control centre, garnishments, payroll policies and payroll controls, compliance controls, payment releases, and reporting to the local authorities. You will be responsible for orchestrating payroll service delivery for customers within the team and ensuring seamless execution of tasks of the payroll workbook.

As a payroll subject‑matter expert (SME) you will provide guidance, mentorship and training to the mid‑level team members, ensuring compliance with local regulations and maintaining close collaboration with internal and external stakeholders to drive operational excellence.

Furthermore, this role supports defining and establishing global and local standard payroll processes. You will also support design, implementation, and maintenance of global payroll and HR business process standards. A key focus will be driving continuous improvement by assessing localisation activities, managing process deviations, and recommending optimal solutions to meet both client and organisational needs.

Additionally, you will be instrumental in contributing to the local target operating model (TOM), country‑specific operating models, and guiding the development of key operational documentation and training materials.

Responsibilities

  • Support in HR transformation projects focused on process optimisation, technology enhancements, and improving the employee experience around payroll.
  • Support in the design, definition and implementation of global and local process standards for managed payroll services, ensuring scalability, compliance, and alignment with industry best practices.
  • Provide expertise in client and country‑level discussions regarding legal‑driven process deviations, aligning processes with global standards, and proposing solutions that address both local and global requirements.
  • Identify and lead continuous process improvement initiatives by spotting optimisation opportunities in country‑specific processes.
  • Assess process deviations, determine their impact, and approve or reject them. Recommend the most appropriate solutions that ensure alignment with global standards.
  • Lead the creation and development of the Local Target Operating Model (TOM), collaborating with global teams to build country operating models that integrate global and local standards and best practices.
  • Ensure that global and local process standards are clearly understood, implemented, and adhered to by country teams, while offering flexibility to accommodate client‑specific requirements.
  • Manage the maintenance of Standard Operating Procedures (SOPs), guidelines, and other critical process documentation to ensure consistency across regions adhering to agreed local deviations.
  • Support in the development and implementation of comprehensive training plans for new team members, ensuring they are knowledgeable about global and local standards, operating models, and process documentation.
  • Maintain strong communication with key stakeholders, including country teams and clients, to ensure the consistent application of global and local standards, procedures, and process changes.
  • Continuously monitor industry trends, regulatory changes, and new technologies to recommend process enhancements that maintain competitive advantages.
  • Serve as the final escalation point for complex cases and support the operating teams in providing the appropriate resolution and ensuring client satisfaction.
  • Support with change order management for internal applications, liaising with third parties for third‑party change request management where applicable.
  • Lead year‑end activities and generate year‑end statutory reports.
  • Lead advanced testing and validation as required for new system releases, updates, and configuration changes.

Qualifications and Experience

  • 5–8 years of experience in payroll outsourcing within an enterprise business outsourcing environment.
  • Strong knowledge of payroll processes such as continuous payroll through the payroll control centre, garnishments, payroll policies and payroll controls, compliance controls, payment releases, and reporting to the local authorities.
  • Practical experience with Employee Central Payroll and payroll control centre is essential.
  • Experience in managing client relationships and delivering payroll services to multinational clients.
  • Strong knowledge with Service Level Agreements (SLAs) and KPI measurement and reporting.
  • Excellent communication skills with the ability to work effectively with clients and collaborate across teams.
  • Ability to manage multiple priorities in a fast‑paced environment and meet client needs efficiently.
  • Demonstrate the ability to work under pressure, prioritise tasks for the team effectively, and ensure high levels of client satisfaction.
  • Strong problem‑solving and conflict resolution skills, with a focus on driving improvements in HR processes.
  • High attention to details and strong organisational skills.
  • Excellent communication skills (both verbal and written), fluent in English and Polish.

Preferred Skills

  • Experience in a payroll and BPO outsourcing environment is preferred.
  • Experience with SAP SuccessFactors, SAP Payroll, Concur, Workforce Management and integration tooling is a plus.
  • Experience with inbound and outbound interfaces from and to payroll is a plus.
  • Certification such as CPP, CPS or CPM is a plus.
  • Ability to work in a fast‑paced, dynamic environment with a focus on continuous improvement.
