Your Role

As a Senior Operations Manager, you will ensure that our office and teams run efficiently, autonomously managing day-to-day operations while acting as the default authority for operational matters. You will design and implement processes, optimize workflows, and oversee staff to create a scalable, high-performing organization. This role focuses on operational excellence rather than creative output, providing structure, guidance, and support to enable teams to perform at their best.

Success in this role requires being on-site at our Warsaw office to closely oversee workflows, provide hands-on guidance, and make timely, informed operational decisions.

What You’ll Do

  • Design and implement processes, workflows, and organizational structures to ensure smooth and scalable operations.

  • Build and optimize team structures, clarifying roles, responsibilities, and reporting lines.

  • Manage, mentor, and support operational and administrative staff to ensure high performance and accountability.

  • Identify areas for automation and introduce tools to reduce manual work and improve efficiency.

  • Ensure new processes, structures, and tools are adopted effectively, providing clear documentation and guidance for teams.

  • Facilitate cross-team communication, alignment, and collaboration to support business objectives.

  • Collaborate with leadership to translate business goals into operational frameworks and actionable initiatives.

  • Monitor performance metrics, measure the impact of processes, and continuously optimize for efficiency, quality, and team effectiveness.

  • Oversee operational budgets, resource allocation, and procurement to optimize costs and support growth.

  • Ensure compliance with company policies, legal requirements, and operational standards.

  • Act as a problem solver and enabler, removing bottlenecks and supporting teams to perform at their best.

  • Provide regular operational reports and insights to leadership, highlighting trends, risks, and opportunities.

  • Support a positive and productive workplace environment, including onboarding and training for new team members.

Ideal Candidate Profile

  • Proven experience as an Operations Manager or in a similar role, with a strong track record of building processes, teams, and organizational structures.

  • Hands-on experience in process design, workflow optimization, and automation tools such as Make, Zapier, or n8n.

  • Experience with data visualization and analytics tools to monitor operations and inform decision making.

  • Strong organizational, leadership, and problem-solving skills, able to manage multiple initiatives and priorities.

  • Excellent communication skills, capable of translating complex processes into clear guidance and facilitating collaboration across teams.

  • Proactive, solution-oriented mindset, comfortable identifying bottlenecks and implementing improvements autonomously.

  • Experience working in fast-paced, high-growth environments.

  • Comfortable working in a bilingual environment (Polish B2+, English B2+).

Nice to Have

  • Experience supporting cross-functional teams and senior leadership.

  • Background in implementing scalable operational improvements and systems.

  • Familiarity with HR, payroll, or administrative systems.

  • Experience managing large or distributed teams.

  • Knowledge of workplace safety, compliance, or quality standards.
