YOUR ROLE

An Executive Assistant with extensive experience and deep understanding of internal policies and procedures. Acts with sound judgment and discretion while performing complex administrative and project management duties on behalf of Executive Management, VPs, Directors, and Senior Management. Serves as a key liaison between leadership, internal teams, clients, and vendors. Recognized as a coach and internal trainer for new Executive Assistants, contributing to team development and operational excellence.

YOUR TASKS

  • Calendar Management: Extensive scheduling and coordination of meetings across time zones.
  • Travel Arrangements: Organizing complex travel itineraries, accommodations, and logistics.
  • Project Support: Managing project logistics including resources, pricing, documentation, and status tracking.
  • Inbox Management: Prioritizing and handling correspondence on behalf of executives.
  • Documentation Flow: Ensuring timely and accurate flow of documentation.
  • Report Preparation: Creating and maintaining various reports and summaries.
  • Procurement Support: Assisting with purchasing processes and vendor coordination.
  • Research & Market Intelligence: Conducting in-depth research to support strategic decisions.
  • Presentation Creation: Designing professional PowerPoint presentations for internal and external use.
  • Event Management: Planning and coordinating webinars, trainings, and corporate events.
  • Communication Support: Drafting announcements and designing internal communications.

YOUR PROFILE

  • Proven experience in executive-level support with a strong grasp of corporate policies and decision-making frameworks.
  • Excellent interpersonal and communication skills, enabling effective collaboration across all organizational levels.
  • Demonstrated ability to manage multiple priorities and deliver high-quality outcomes under pressure.
  • Trusted partner to senior leadership, capable of handling sensitive information with discretion.
  • Recognized mentor and trainer, contributing to the onboarding and development of new team members.
  • Highly organized, proactive, and solutions-oriented with a track record of successful project execution.
  • English level B2 or higher.
