Jacobs is looking for a highly experienced and motivated Senior Document Control Specialist to join our DC team in Kraków. This role is ideal for someone who thrives in a dynamic project environment, brings deep expertise in document control, and is ready to lead initiatives and mentor others.
As a Senior Document Control Specialist, you will play a key role in managing and improving document control processes across complex projects and programs. You’ll work independently, collaborate with cross-functional teams, and provide strategic guidance to ensure documentation standards are met and exceeded.
Key Responsibilities:
- Lead and perform specialized document control tasks independently.
- Apply expert judgment to evaluate situations and implement effective solutions.
- Collaborate with Design Managers, Project Managers, and Project Information Managers to define project-specific documentation requirements.
- Create, implement, and execute document control procedures aligned with enterprise standards.
- Serve as a technical expert and thought leader in document control.
- Provide leadership on strategic initiatives and advise stakeholders on best practices.
- Ensure high-quality use of various Common Data Environments (CDE).
- Supervise document control teams on large, complex programs involving multiple business groups.
- Organize and deliver training sessions for project teams.
- Coordinate with Client and Contractor teams to align document control processes.
- Guide project teams on documentation strategies and compliance.
- Prepare reports, support audits, and contribute to HS&E documentation.
- Support project close-out activities and maintain documentation integrity.
- Foster a positive team environment and mentor junior staff in document control fundamentals.

Heres what youll need
- Bachelor’s technical degree (relevant experience may compensate for lack of formal education).
- Minimum 5 years of progressive experience in document control or related field.
- Strong understanding of project delivery and document control processes.
- Excellent command of English (written and spoken).
- Proficiency in MS Excel, Word, and Outlook.
- Exceptional communication skills across all levels of the organization.
- Strong analytical and problem-solving abilities.
- Proven ability to meet deadlines and manage priorities.
- High level of business acumen and attention to detail.
- Adaptable, proactive, and reliable with a positive attitude.
- Experience in mentoring and leading teams.
- Willingness to travel occasionally.
