Role Overview
Jacobs is looking for a highly experienced and motivated Senior Document Control Specialist to join our DC team in Kraków. This role is ideal for someone who thrives in a dynamic project environment, brings deep expertise in document control, and is ready to lead initiatives and mentor others. As a Senior Document Control Specialist, you will play a key role in managing and improving document control processes across complex projects and programs. You’ll work independently, collaborate with cross‑functional teams, and provide strategic guidance to ensure documentation standards are met and exceeded.
Key Responsibilities
- Lead and perform specialized document control tasks independently.
- Apply expert judgment to evaluate situations and implement effective solutions.
- Collaborate with Design Managers, Project Managers, and Project Information Managers to define project‑specific documentation requirements.
- Create, implement, and execute document control procedures aligned with enterprise standards.
- Serve as a technical expert and thought leader in document control.
- Provide leadership on strategic initiatives and advise stakeholders on best practices.
- Ensure high‑quality use of various Common Data Environments (CDE).
- Supervise document control teams on large, complex programs involving multiple business groups.
- Organize and deliver training sessions for project teams.
- Coordinate with Client and Contractor teams to align document control processes.
- Guide project teams on documentation strategies and compliance.
- Prepare reports, support audits, and contribute to HS&E documentation.
- Support project close‑out activities and maintain documentation integrity.
- Foster a positive team environment and mentor junior staff in document control fundamentals.

- Hybrid model – 2 days per week in the Jacobs office, 3 days from home.
Qualifications
- Bachelor’s technical degree (relevant experience may compensate for lack of formal education).
- Minimum 5 years of progressive experience in document control or related field.
- Strong understanding of project delivery and document control processes.
- Excellent command of English (written and spoken).
- Proficiency in MS Excel, Word, and Outlook.
- Exceptional communication skills across all levels of the organization.
- Strong analytical and problem‑solving abilities.
- Proven ability to meet deadlines and manage priorities.
- High level of business acumen and attention to detail.
- Adaptable, proactive, and reliable with a positive attitude.
- Experience in mentoring and leading teams.
- Willingness to travel occasionally.
