About The Job

Manage the day‑to‑day operations of our retail facilities, ensuring a safe, efficient, and well‑maintained environment. This role supports the facilities team, coordinates maintenance schedules, handles vendor relationships, and ensures all building systems and equipment operate smoothly.

Key Responsibilities

  • Coordinate with external vendors and internal partners (Real Estate, IT, etc.) for routine maintenance, repairs, upgrades, and store openings, refits, relocations, and closures.
  • Serve as the point of contact for external service providers, assisting with vendor creation, purchase orders, goods receipt, and invoice management.
  • Ensure the facility complies with all health and safety regulations, conduct safety audits, manage emergency procedures, and provide staff with safety training.
  • Respond promptly to facility‑related issues, troubleshoot problems, and resolve operational concerns such as heating, cooling, and lighting.
  • Maintain accurate records of maintenance activities, work orders, inventory, asset registers, and other related documentation; prepare reports for management.
  • Assist the Facilities Manager in preparing and managing the facilities budget, tracking expenses, and identifying cost‑saving opportunities.

Basic Qualifications

  • High school diploma or equivalent required; a degree or certification in facilities management, business administration, or a related field is a plus.

Skills & Abilities

  • Multilingual – proficiency in French, Italian, Spanish, or German is required.
  • Strong organizational and time‑management skills.
  • Ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of building systems and maintenance procedures is a plus.
  • Ability to troubleshoot basic maintenance issues.

Experience

Minimum of 2‑3 years in facilities management, office administration, or a similar role.

This is a hybrid position based in Warsaw. You will be expected to be in the office three days per week, though time in office may vary depending on business needs.

Salary range: PLN 91,400.00 – PLN 121,800.00 per year, based on education, qualifications, performance, and local market factors.
