Position Summary

Relocation Success Manager – Warsaw will be responsible for designing, implementing, and maintaining an outsourcing and relocation framework that ensures smooth onboarding of the operational teams in Warsaw, effective knowledge transfer with minimal business disruption, and sustained service performance after handover. The responsibilities include assisting the sending managers with planning and executing transitions, securing institutional knowledge, and embedding governance that delivers measurable service continuity and ongoing process improvements.

Key Responsibilities

  • Transition strategy and planning: Create and own the end-to‑end transition plan for outsourcing or relocating functions into the Shared Service Centre with timelines, milestones, resource plans, and risk registers.
  • Outsourcing framework design: Define contractual‑operational handover model, RACI, service boundaries, SLAs, performance incentives, and exit/continuity clauses.
  • Legal Entity controls, to ensure full compliance with any regulatory requirements across EMEA and US
  • Knowledge transfer management: Develop and execute structured knowledge capture and transfer programs including curricula, runbooks, workshop schedules, shadowing, and competency assessments.
  • Operational readiness: Coordinate test scenarios, parallel runs, cutover plans, staffing ramp‑up, training completion, systems access, security and compliance checks, and data migration validations.
  • Stakeholder engagement: Lead cross‑functional governance with business process owners, IT, HR, procurement, legal, vendor management, and site leadership to align scope and remove blockers.
  • Risk, issue and change management: Maintain risk and issues logs, lead mitigation, control change requests, and ensure version control for transition artefacts.
  • Quality assurance and stabilization: Set and track quality gates, perform post‑cutover reviews, implement continuous improvement plans.
  • Documentation and governance: Produce and maintain transition artefacts including playbooks , knowledge repositories, training records, and sign‑off checklists.
  • Metrics and reporting: Define, track, and report transition health metrics and relocation success indicators to senior stakeholders.

Outcomes and KPIs

  • Successful cutover rate: Percentage of transitions completed within planned cutover window and approved scope.
  • Service continuity: Number of critical incidents in first 90 days post‑handover reduced to target.
  • Knowledge retention: Achievement of competency pass rates for transferred staff and time‑to‑proficiency against baseline.
  • Cost to serve: Realized versus targeted cost reductions attributable to the transition.
  • Stakeholder satisfaction: Business owner and vendor satisfaction scores at handover and stabilization.
  • Documentation completeness: Percentage of process documentation and runbooks validated and used in operations.

Skills & Experience Required

  • Project and program management: Strong planning, scheduling, resource optimisation, and milestone governance skills.
  • Communication and influencing: Clear, concise stakeholder communication; ability to align senior leaders and disparate teams.
  • Analytical and process orientation: Ability to decompose processes, define measurable controls, and use data to drive decisions.
  • Training and coaching: Experience designing curricula, running workshops, and assessing competency.
  • Prior experience with outsourcing, Legal Entity control function etc. highly desired
  • Risk and change management: Comfortable managing risks, formal change requests, and escalation paths.
  • Tools: Proficiency with project management tools, knowledge repositories, collaboration platforms, and basic data reporting tools.
  • Fluent in English and Polish.
