Key Duties and Responsibilities
• Management of all incoming/outgoing post and booking couriers
• Copying, scanning and printing duties
• Booking travel and taxi services when required
• Ordering of some office supplies including stationery, drinks, refreshments
• Deal with facilities including liaising with building management
• Liaise with housekeeping to keep the offices in good order
• Raising purchase orders for all Facilities, liaise with suppliers
• Meeting and greeting all clients and visitors
• Respond to Guest queries in a timely and efficient manner
• Management of meetings rooms including diary schedule, set-up and
clearing
• Liaising with building management to organise access cards for
employees
• Calling appropriate host upon visitor arrival and escorting the guest to
meeting rooms
• Liaising with catering companies for events, client meetings and corporate
lunches
• Ad-hoc duties upon request
Minimum Requirements (Experience Education)
• Well organised and proactive with a strong eye for detail
• Immaculate presentation and communication skills
• Excellent IT knowledge, particularly Microsoft Office (Word, Excel,
PowerPoint and Outlook are a must) and Microsoft Teams
• Confident, polite and professional at all times
• Flexibility and a willingness to undertake varied responsibilities working
alone or as part of a team
• Excellent English language skills (written and spoken)
• Excellent Polish language skills (written and spoken)
• Able to work without supervision and under pressure
• Able to work well with a wider team
• Proactive and can do attitude
