Receptionist
Your responsibilities
- Greet and welcome guests, clients, and employees with professionalism and warmth.
- Manage incoming calls, emails, and correspondence; issue visitor and employee badges while maintaining accurate logs and access control.
- Manage internal calendars, oversee meeting rooms availabilities, and support meeting logistics (e.g., catering, equipment setup).
- Coordinate key management for lockers, cabinets, and shared spaces.
- Handle incoming and outgoing mail and courier services (domestic and international).
- Support travel arrangements and taxi vouchers; assist with organizing client visits and on-site incentive events.
- Procure groceries and office supplies; maintain inventory records and regularly update databases/reports.
- Ensure a clean, safe, and secure workplace by coordinating with facility vendors; conduct regular checks on first aid kits, badges, and access control systems.
- Provide administrative support across the organization; assist the Administration Department with ongoing projects and assigned tasks.
Our requirements
- Very good command of Polish and English (spoken and written) – minimum B2 level.
- Previous experience in office administration is a plus.
- Ability to work independently with a proactive attitude.
- Strong customer service orientation and a professional demeanor.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- High level of reliability, punctuality, and attention to detail.
- Ability to prioritize tasks and multitask effectively.
