ERM is seeking a Proposal Coordinator to join our EMEA Bid Support Team. This role will collaborate with Partners, sellers, and Key Client Account Directors across diverse industries and service lines. The Proposal Coordinator will lead and support the preparation of high-impact proposals, ensuring timely delivery and compliance with ERM standards. The ideal candidate will be detail-oriented, service-focused, and confident in managing the end-to-end proposal process.

About the role:

Collaboration and Coordination:

• Work closely with Partners, Bid Support Manager, and consultants to prepare proposals for high-value opportunities.
• Collaborate with internal teams, including marketing, finance, legal, and HSEQ, to address proposal requirements.
• Support cross-functional teams in delivering winning proposals.

Proposal Management:

• Develop formal response plans for large and complex RFPs.
• Manage the proposal process, including schedules, responsibility matrices, and communication plans.
• Organize and compile proposal materials such as response templates, project descriptions, CVs, and graphics.
• Review, edit, and format proposal content to ensure high quality and compliance.
• Assemble and deliver final proposals within client deadlines.

Presentation Development:

• Assist pursuit teams in preparing interview presentations using PowerPoint.
• Facilitate internal strategy meetings and support the development of visual content.
• Research and integrate relevant company information, services, and experience into slides.
• Manage schedules, assignments, and deliverables to meet presentation deadlines.

Material and Content Management:

• Maintain a database of proposal materials, including boilerplate information, project experience, and staff CVs.
• Organize and update content on SharePoint/Marketing Server for easy access and reuse.

Brand and Compliance Management:

• Ensure all proposals and presentations adhere to ERM’s branding, style, and approval standards.
• Maintain consistency in visual design and written communication across all proposal materials.

About you:

• Bachelor’s or Masters degree in a relevant field.
• Experience in proposal coordination, bid management, or related roles.
• Proven ability to manage multiple deadlines and priorities simultaneously.
• Strong organizational, writing, and editing skills with attention to detail.
• Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
• Experience with SharePoint and database management tools preferred.
• Excellent communication and collaboration skills.
• Familiarity with proposal development processes and best practices.
