Job Responsibilities
- Professional and proactive support for the management of in-house consulting and division management in day-to-day business.
- Coordination, planning, preparation and follow-up of meetings, telephone and video conferences as well as business trips at national and international level including travel expense statement.
- Management of the main mailbox and preselection of incoming e-mails.
- Planning and controlling cross-divisional projects of the management of in-house consulting with project controlling, reporting, and documentation.
- Organization of tax circles in consultation with the management assistants.
- Preparation of presentations and documents.
- Office management (office organization, reception, telephone exchange, visitor support and hospitality, ordering) and general administrative activities.
- Preparation of the invoicing process including coordination of project creation, ensuring the recording of hours and coordination with the controlling/finance interface.
- Monthly invoice verification and creation of monthly project reports.
- Cost center reporting including the analysis and clarification of deviations and measures.
- Support for in-house consulting PMOs in the creation and maintenance of content on social collaboration platforms (MAHLE Connect).
Minimum Requirements
- Minimum of 3 years of assistance experience at divisional or executive level.
- Fluent in German and English.
- Very good oral and written communication skills.
- Experienced handling of MS Office (especially PowerPoint and Excel), Outlook, and Internet.
- Strong organizational talent, quick perception, and proactivity.
- Team spirit, cooperative capacity, high service orientation, and resilience.
- Self-confidence, friendly and positive behavior.
