ROLE OBJECTIVES

We are offering a fantastic opportunity for an English and Turkish-speaking Administrator to join our growing team. We work with a flexible/hybrid model, with days in our Warsaw office and days from home. Applications from outside Warsaw are welcome for the right candidates.

You will support our teams and clients, providing efficient and professional service to in-country stakeholders.

The Project Administrator will execute key tasks across multiple accounts, managing internal processes, and ensuring governance and contract adherence at a local level.

KEY RESPONSIBILITIES

On an end-to-end, project-by-project basis, collaborate with the Customer Relationship Manager and Purchase Manager to deliver requirements locally and across EMEA. Coordinate internal administration processes such as:

  • Purchase Order (PO) requisitions, processing through proprietary IT systems, follow-up to job completion, invoicing, and order processing in line with SLAs, client briefs, quality, and ISO standards.
  • Manage critical path schedules within projects to adhere to contractual terms and SLAs, including pricing and turnaround times.
  • Ensure procurement and service operations run smoothly, track contracts and invoices, maintain accurate records, and assist program teams with milestone management.
  • Follow and update operational and project reports covering areas like Operational Status, Job Tracking, and Critical Path Escalations. Escalate issues requiring contingency planning to senior management with solutions.
  • Maintain incident logs for internal, client, and supplier incidents, aiming for 100% accuracy. Clarify expectations and inform clients of project slippages or potential issues.

WHAT YOULL BRING

  • Strong Romanian and English language skills (spoken and written).
  • Experience with invoicing, project management, and purchase orders is advantageous.
  • Excellent organizational, prioritization, and time management skills, capable of managing multiple projects simultaneously.
  • Solid numerical skills to process large data volumes effectively in a business context.
  • Proficiency in Microsoft Office, especially Excel and Word.
  • Strong professional communication skills.

Experience in administrative or hospitality roles will be considered, as training can be provided.
