Job Description
The Practice Support Coordinator is responsible for providing professional administrative support to the lawyers of the Firm in relation to both billable and non‑billable work, ensuring that clients are serviced in a professional manner and in accordance with the Firms policies.
The Role
This role will be part of the Warsaw Hub and will include working as part of a team to ensure a high‑quality service to all stakeholders. The specific purpose of this role is to assist the allocated lawyers in our Paris office.
Who You Will Work With
You will predominantly work with the members of the practice group (allocated fee earners), as well as secretarial colleagues from France and the teams in India.
What You Will Be Responsible For
The Practice Support Coordinator is responsible for ensuring that all activities are carried out in compliance with the firms policies and regulatory requirements, and for resolving service issues promptly.
What You Will Do
- Act as the key point of contact and manage incoming queries internally and externally via phone, email and workflow tools.
- Manage diaries: organise meetings across time zones, coordinate requirements, book rooms, prepare documentation and liaise with attendees.
- Set up file management systems, file emails and documents, archive and arrange couriers.
- Arrange domestic and international travel including visas, vaccinations, currency, flights, hotels and itineraries.
- Prepare and draft letters, email correspondence, pitches and presentation documentation.
- Manage document workflows: amend and collate PDFs, proofread, black‑line and liaise with specialist teams.
- Encourage and follow up on the completion of mandatory training and compliance requirements.
- Participate in ad‑hoc projects and tasks as required.
- Assist with client relationship initiatives, including meetings, calls and support activities.
- Create or amend PowerPoint and Excel documents and fee quote documentation.
- Build relationships with internal and external clients and key stakeholders.
- Organise events in collaboration with the Events team: research venues, draft communications and manage RSVPs.
- Carry out research tasks to support lawyers and business professional teams.
- Assist client and market development teams with client activities and contact‑information updates.
- Provide financial management support from inception through to billing.
- Collaborate with Accounts Payable to raise invoices and follow up payments.
- Attend WIP and debtor meetings and follow up on action points with the billing team.
- Support lawyers with Time Sheet entries, resolve unposted time and manage held time.
- Assist with expert time and post‑closing administration.
Qualifications
- Fluency in French (min. C1) and English; additional language skills are an asset.
- 3+ years of experience, preferably in a multinational organisation, in a role such as Legal secretary, Team Assistant, Executive Assistant or personal secretary to Senior Management.
- Excellent stakeholder management skills and ability to build and maintain effective relationships.
- Ability to work in a virtual environment and provide remote support.
- In‑depth understanding of MS Office suite (Word, Outlook, PowerPoint, Excel).
- Strong organisational, project management and problem‑solving skills.
- Ability to adapt to changing priorities and work well under pressure.
- Strong attention to detail, approachable, helpful and flexible.
