Overview
This is a full-time position within our Lease Administration team. Lease Administrators within the Occupier Services team have responsibility for the management of client real estate information and for assisting their corporate clients directly in the management of their real estate, through web-based software solutions. They are responsible for maintaining client relationships and supporting the transactional teams through the provision of information.

Responsibilities
- Collecting and checking correctness of lease documents;
- Analyzing real estate documents and ensuring complete and accurate lease abstraction to Client’s system/templates;
- Monitoring, tracking and reporting on critical dates and other pertinent lease information such as rent free periods, security deposits, prepaid rent, etc.;
- Auditing abstracts prepared by other team members or 3rd parties;
- Administration and maintenance of alerts for portfolios;
- Establish calls and ongoing internal communications cadence with global lease admin account team members and Clients as needed;
- Reconciling invoices related to rent, operating expense, and CPIs; identify any potential savings or discrepancies;
- Create and maintain process manuals for any new clients and/or reports - review, maintain and update existing manuals;
- Producing standard real estate reports, ad hoc reports, and generating research for clients as requested;
- Proactively flag any risks as foreseen. Monitor risks closely and support the relevant teams and Clients in resolving;
- Supporting Clients in ongoing requests related to their portfolio;
- Draw down and create regular system reports and supporting billing process;
- Assist in improving process efficiency with proactive operational feedback;
- Providing administrative support to other personnel within the department as required;
- Providing additional department-related functions as requested.
Qualifications
- Fluency in English and Polish is a must;
- Intermediate knowledge of French or German is a must;
- Previous experience in a real estate company;
- Analytical skills and attention to detail;
- Good planning and organizational skills;
- Previous experience analysing and abstracting lease documents is a strong advantage.
