Purpose of the Role:
The Planning and Operations Lead plays a key role in enabling the effectiveness and execution of the Learning experiences design by the Learning solutions team. This role is responsible for orchestrating the operational execution, and cross-functional alignment required to deliver high-quality, timely, and localized learning experiences for our ABOs. Through the development and management of core processes, learning calendars, and resource coordination, the role ensures the LS team operates with excellence and contributes directly to the growth of the business taking into consideration all the operational activities ( budget, localizations, planning, trainers, communications) need to operate the team effectively.
Primary responsibilities:
- Learning Calendar Management: Develop and maintain an integrated ESAN learning calendar aligned with business and sales priorities, ensuring visibility and coordination across stakeholders.
- Training Needs Planning & Intake Process: Lead and optimize the intake and prioritization process for training requests from all functions( marketing, sales, BRC…) , ensuring efficient resource & budget allocation and alignment.
- Trainer Management: Manage end-to-end trainer operations, including selection, onboarding, contracting, performance tracking, and ongoing engagement to ensure content consistency and delivery excellence.
- Virtual Instructor-Led Training (VILT) Platform Oversight: Own the day-to-day operations and optimization of the VILT platform, ensuring seamless scheduling, hosting, and learner experience, as well as contracting operations with the platform vendor.
- Budget and Purchase Order (PO) Management: Lead the LS team’s budget planning cycle; manage spend control, vendor POs, and invoice tracking in compliance with finance policies.
- Language and Localization Coordination: Manage language requirements across learning solutions experinecies plans and coordinate localization processes to ensure timely and culturally relevant content deployment, supporting the learning experience design and activation lead.
- Learning experiences plans tracker: Maintain a comprehensive tracker for LS projects; monitor timelines, dependencies, and risks, and report progress across the global learning portfolio.
- Operational Excellence: Define and continuously improve LS processes and Standard Operating Procedures (SOPs), including planning, content development, measurement, and learner experience design.
Required Knowledge & Skills and/or Related Experience:
- 4+ years of experience in learning and development, project management, business or related functions.
- Strong understanding of training delivery models, instructional design processes, and learning technologies, including VILT platforms.
- Experience in managing budgets and procurement processes.
- Familiarity with localization and translation workflows for learning materials.

- Detail-oriented with strong problem-solving capabilities
- Fluency in English; additional languages a plus
