Plan Specialist – Warsaw – Hybrid

A Role You Will Love

This Plan Specialist role places you at the heart of our operations, taking end‑to‑end ownership for the administrative lifecycle of equity and deferred compensation plans for our international corporate clients. Reporting to an Operations Manager or Team Leader, you’ll be instrumental in the successful, timely, and accurate delivery of all operational support activities within the Employee Share Plan lifecycle. You will leverage our proprietary web‑based platform, EquatePlus, to provide administrative services and manage complex plan events.

This is a dynamic role requiring strong operational discipline, cross‑functional collaboration with teams globally (e.g., Switzerland & UK), and direct communication with corporate clients.

Responsibilities

  • Plan Administration – Provide meticulous end‑to‑end administrative services for client equity compensation plans, focusing on day‑to‑day data maintenance and executing scheduled client events (e.g., Vesting, Maturity, Awards Share Delivery,Leaver Processing,Eligibility,Enrollment, and Contributions).
  • Process Ownership & Improvement – Own, develop, and implement standardised and tailor‑made processes for all operational activities, constantly seeking opportunities for streamlining and efficiency improvements.
  • Compliance & Risk – Strictly adhere to the Compliance and Risk framework, including specific financial regulations (e.g., FINMA, CASS), to ensure the quality and integrity of all operational and technical services.
  • Stakeholder Collaboration – Work closely with Account Managers, IT/Production Support, Client & Implementation, Reconciliation, and Compliance teams to resolve issues and deliver comprehensive solutions.
  • New Business & Systems – Support the onboarding of New Business onto EquatePlus by understanding requirements, performing functional testing, and validating process run‑books, while also shaping operational systems like Jira and Confluence.
  • Expert Consultation – Serve as a subject matter expert, gaining and maintaining strong technical knowledge to provide expert advice to the wider business and client base, including speaking directly with corporate clients for process explanation and joint activity planning.
  • Monitoring & Quality – Be responsible for the structured planning, execution, and close monitoring of processes to identify delivery issues and ensure all tasks are completed accurately and on time, meeting agreed SLAs.

Qualifications

  • Relevant Professional Experience – 2 to 3 years of working experience in Banking Mid‑office or a similar function within a Financial Institution, including professional experience in client‑facing operations.
  • Education & Systems – A Bachelor’s degree or equivalent, coupled with proficiency in MS Office (especially Excel and PowerPoint).
  • High‑Volume Operations – Proven experience handling significant transactional volume in an operational context, preferably within a complex regulatory environment.
  • Communication – Excellent written and verbal English communication skills (C1 level and above), with the ability to articulate ideas clearly to a wide variety of audiences.
  • Relationship Building – The ability to develop and maintain effective working relationships across various virtual teams and managers throughout the organization.
  • Process Improvement Mindset – Evidence of working on or closely with projects designed to radically overhaul processes and operational delivery is a strong advantage.
  • Industry Knowledge (Advantageous) – A good understanding of deferred compensations & benefits or pension schemes, or product expertise across EXEC, SIP, SAYE, or ESPP will be a valued attribute.
