We are seeking a highly organized and proactive Personal Assistant to support the CEO in managing business and personal responsibilities effectively.
Key Responsibilities
- Handle and prioritize business communications, including emails, calls, and correspondence.
- Prepare, proofread, and edit business reports, presentations, and other documents.
- Schedule and coordinate meetings, prepare agendas, and take minutes.
- Act as the primary liaison between the CEO and internal/external stakeholders.
- Communicate and coordinate with local authorities, including government offices and agencies.
- Organize domestic and international travel arrangements, including flights, accommodations, visas, and transportation.
- Prepare detailed travel itineraries and manage travel expenses.
- Coordinate with local vendors, suppliers, and service providers for business and personal needs.
- Handle personal communications, including RSVPs, invitations, and event planning.
- Assist with errands and ad hoc tasks, both professional and personal.
- Support the CEO with compliance, documentation, and administrative responsibilities.
- Participate in strategic projects and assist in research as required.
- Maintain confidentiality and ensure the smooth running of daily operations.
Requirements
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Fluency in Polish and English (spoken and written) is mandatory.
- Exceptional communication and interpersonal skills.
- Strong organizational and multitasking abilities with attention to detail.
- Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.
- Familiarity with managing travel arrangements, including visas and international travel.
- Experience communicating with local authorities in Poland is an advantage.
- Discretion and trustworthiness with sensitive information.
- Ability to work under pressure and manage multiple priorities.
- Knowledge of tools like Slack, Trello, or CRM systems is a plus.
