About the Role

We are looking for a proactive and detail‑oriented Onboarding Specialist to join our People Services team. In this role, you will be responsible for ensuring a smooth and engaging onboarding experience for all new employees across the organization, serving as the key point of contact for both new hires and hiring managers.

This is a hybrid role, with 2 days per week in our Warsaw office and 3 days working remotely. While hybrid work is preferred, other arrangements may be considered for the right candidate.

What You’ll Be Doing

• Managing the end-to-end onboarding process for new hires, ensuring a positive and seamless experience.
• Welcoming new employees and coordinating engagement activities throughout their onboarding journey.
• Preparing and distributing onboarding kits and welcome gifts.
• Creating and maintaining onboarding policies, handbooks, and process documentation that explain company operations and expectations.
• Preparing and sending pre‑onboarding communications, including information about the company, agenda, IT setup, and other essentials.
• Coordinating with IT and other departments to ensure all equipment, access, and credentials are properly set up before the employee’s first day.
• Monitoring onboarding metrics and providing regular reports and process updates to the People Services Lead.
• Serving as the primary point of contact for hiring managers and new hires during the onboarding phase.

• Proven experience in HR operations, onboarding, or a similar HR support role.
• Strong organizational and multitasking skills with great attention to detail.
• Effective communication in English, both written and spoken.
• Tech‑savvy and comfortable working with HR systems and digital onboarding tools.
• Ability to collaborate smoothly across departments and cultures.
• People‑first attitude and passion for creating an excellent employee experience.
