About the Role

We are looking for a proactive and detail-oriented Onboarding Specialist to join our People Services team. In this role, you will be responsible for ensuring a smooth and engaging onboarding experience for all new employees across our organization. You will serve as the key point of contact for both new hires and hiring managers, ensuring every step of the onboarding journey runs efficiently, professionally, and in alignment with company standards.

This is a hybrid role, with 2 days per week in our Warsaw office and 3 days working remotely. While hybrid work is preferred, other arrangements may be considered for the right candidate.

What You’ll Be Doing

• Managing the end-to-end onboarding process for new hires, ensuring a positive and seamless experience.
• Welcoming new employees and coordinating engagement activities throughout their onboarding journey.
• Preparing and distributing onboarding kits and welcome gifts.
• Creating and maintaining onboarding policies, handbooks, and process documentation that explain company operations and expectations.
• Preparing and sending pre-onboarding communications, including information about the company, agenda, IT setup, and other essentials.
• Coordinating with IT and other departments to ensure all equipment, access, and credentials are properly set up before the employee’s first day.
• Monitoring onboarding metrics and providing regular reports and process updates to the People Services Lead.
• Serving as the primary point of contact for hiring managers and new hires during the onboarding phase.

What We’re Looking For

• Having proven experience in HR operations, onboarding, or a similar HR support role
• Showing strong organizational and multitasking skills with great attention to detail
• Communicating effectively in English, both written and spoken.
• Being tech-savvy and comfortable working with HR systems and digital onboarding tools
• Collaborating smoothly across departments and cultures
• Bringing a people-first attitude and a passion for creating an excellent employee experience
