Responsibilities
This role is responsible for the accurate and timely calculation and payment of payroll for designated countries, encompassing processing, reporting, analysis, and system management. Key duties include executing all payroll activities, including associated payments, taxes, and contributions. The position also focuses on continuous process and system improvement, managing relationships with external payroll providers, and supporting internal customers and stakeholders. This is an office/hybrid role (4 days a week at Warsaw office and 1 day home office on Fridays).
- Reviews the payroll of around 4-6 countries in the Europe region (including, but not limited to: Germany, Poland, Slovakia and Czech Republic).
- Records payroll changes such as inputs, special payments, deductions, etc.
- Collaborates with external payroll providers, HR and Legal to ensure that payroll is executed in a timely manner.
- Provides information to external suppliers such as consultants, auditors.
- Investigates discrepancies in payroll information and/or documentation.
- Processes Vacation payroll payments per Country regulations.
- Manages and oversees the Time & Attendance tracking, updates and adjustments for employees.
- Works with Vendor to process severance payments.
- Ensures compliance with country requirements related to payrolls listed in Job Description.
- Provides information to internal and external auditors and government agencies.
- Monitors tax notifications, social security and other government requirements; records and ensures timely payment of taxes, contributions and withholding taxes related to payroll.
- Captures payroll changes in Workday via Workday Worksheet.
- Ensures compliance with internal policies and legal regulations, including SOX.
- Has a general understanding of Payroll GL/JE processes.
- Maintains and increases knowledge about payroll-related legislation and changes.
- Validates payments to employees, bank disbursements, and issues checks when necessary; coordinates payments to suppliers if necessary.
Project & Analysis
- Prepares ad hoc reports, metrics and presentations.
- Analyzes information and identifies opportunities for improvement.
- Prepare monthly reports for Accounting, Controllership, Tax, Corporate, etc.
- Leads process improvements projects and action plans, follows up on open items, due dates and communicates status to Management.
- Carries out the analysis, user tests and coordinates go-live.
What You Bring to the Table
- 3+ years of experience in European payroll administration (payroll compliance and regulations).
- Fluency in Polish and English, written and spoken.
- Proficient in Google apps (sheets, docs, etc.), as well as Excel.
- Experience with payroll interrelationships with accounting and General Ledger (GL).
- Knowledge and experience in payroll processes, compensations, payroll taxes, social security, savings accounts, pension plans.
- Partner with other areas to achieve process improvements, achieve goals and meet deadlines.
- Strong mathematical skills with ability to research, analyze, reconcile, and resolve complex time and payroll issues.
- Discretion to handle confidential information.
- Oral and written communication skills and ability to clearly discuss payroll issues with employees at different levels in the organization and externally with payroll providers and government agencies.
- Analytical and problem-solving skills.
