? We’re Hiring: Order to Invoice Specialist
About the Role
As an Order to Invoice Specialist, you will manage the full order lifecycle — from sales order creation through shipment and invoicing — ensuring accuracy, timely delivery, and high service quality. You will work closely with Logistics, Finance, and Warehouse teams to support smooth Order-to-Invoice (O2I) processes.
- Process customer sales orders end-to-end in the ERP system, including sales orders, shipments, and commercial invoices.
- Create and manage transportation orders in POSM and DHL systems to ensure timely and accurate deliveries.
- Coordinate with the warehouse by issuing pick & pack and shipping instructions.
- Monitor order fulfillment and proactively resolve order-related issues and discrepancies.
- Handle customer complaints, including organizing returns to the warehouse and issuing credit memos in the ERP system.
- Manage outbound sample shipments, preparing export and intra-EU documentation and coordinating deliveries via DHL.
- Ensure smooth export and import customs clearance for sample shipments, including tracking and issue resolution.
- Track and trace shipments and act as a key contact for logistics partners, including DHL E-commerce Poland and DHL Express.
- Maintain accurate and complete transactional data in ERP and logistics systems.
- Liaise with Logistics, Finance, and Warehouse teams to support efficient order fulfillment and invoicing.
- Support order-to-invoice processes by ensuring data accuracy and timely documentation flow.
- Ensure compliance with the Group’s internal controls, policies, and procedures, and support continuous process improvements.
What We’re Looking For
- Good command of Polish and English (minimum B2 level).
- At least 1 year of experience working with an ERP system in Sales & Distribution, Order Management, or a similar order-processing–focused module.
- Proficient in MS Excel and confident working with data and reports.
- Bachelor’s degree or equivalent professional experience; background in accounting, finance, logistics, or technical/engineering fields is an advantage.
- High attention to detail with strong accuracy in data entry and transactional processing.
- Proactive attitude, strong sense of ownership, and a continuous improvement mindset.
Nice to Have
- Experience with Microsoft Dynamics NAV (Navision).
