What will your work entail?
As an Office Specialist, you will support the Management in performing their duties and ensure the smooth functioning of the office. Your main responsibilities will include handling internal and external correspondence, managing the executive calendar, preparing documents, managing social media, and assisting with all executive actions.
In the first 3 months:
- You’ll gain thorough knowledge about our organization, associated organizations, clients, and partners.
- You’ll become familiar with your responsibilities and undergo a series of onboarding trainings.
- You’ll learn the tools you’ll be using.
In 3-6 months:
- You’ll independently perform assigned assistant duties according to described processes and metrics, such as coordinating the Executive Calendar, scheduling meetings, preparing documents, presentations, reports, agreements, resolutions, analyses, handling emails, and managing social media channels.
- You’ll represent the Management in designated meetings.
In 6-12+ months:
- You’ll achieve the objectives set by the Management.
- You’ll receive independent projects to manage.
- You’ll analyze data on the market, company, and related entities.
- You’ll propose solutions and improvements.
- You’ll collaborate with other departments to implement changes resulting from Management’s decisions.

Recruitment process:
- Screening meeting (30-45 minutes, online) – we’d like to get to know you and tell you more about us and the role.
- Meeting with Jakub Dejewski – CEO and potential supervisor (at the office in Gdańsk, Al. Zwycięstwa 13A).
- DISC D3 test with Agnieszka Myśliwczyk (online, about 30 minutes). Learn more about yourself and how you fit into the role.
- Meeting with Jakub Dejewski – CEO and Aleksander Wiecki – CMO (at the office in Gdańsk, Al. Zwycięstwa 13A), followed by a mutual decision.
What were looking for:
- At least 3 years of experience as an Office Specialist or a similar role, in English (or another language).
- Ability to understand and manage executive office processes.
- Skills in data analysis and reporting, including proposing improvements based on data.
- Creativity and the ability to generate new ideas for communication activities.
- Excellent communication skills, both spoken and written.
- Independence in action and ability to work in a team.
- Effective time and priority management skills.
- Initiative, openness, and proactivity in seeking solutions.
- Proficient English language skills (minimum C1 level). Knowledge of German, Italian, or French would be an advantage (Polish is not required).
