Job Responsibilities:
1. Office Operations & Maintenance
Oversee day-to-day office operations, including managing supplies, equipment, and vendor relationships.
Ensure a clean, safe, and functional workspace for all employees.
Handle maintenance requests and liaise with building management as needed.
2. Administrative Support
Coordinate schedules, meetings, and events for management and staff.
Prepare and process documents, reports, and presentations as required.
Maintain organized filing systems (digital and physical) for all administrative records.
3. Staff Coordination
Act as the primary point of contact for internal and external inquiries.
Assist in onboarding new employees, including setting up workspaces and technology.
Support HR functions, such as maintaining employee records and assisting with policy implementation.
4. Financial & Budget Oversight
Monitor and manage office budgets, including expenses for supplies and services.
Process invoices, receipts, and reimbursements in coordination with the finance department.
5. Technology & Tools Management
Coordinate with IT support to maintain office equipment and troubleshoot technical issues.
Ensure proper functioning of software and tools used for office productivity.
6. Event Planning
Plan and organize team events, training sessions, and company celebrations.
Manage travel arrangements for staff as needed.
Minimum Requirements:
Bachelors degree in Business Administration, Office Management, or a related field.
Proven experience as an Office Manager or in a similar administrative role.
Experience managing budgets and supervising administrative staff is a plus.
Technical Skills: Proficiency in Microsoft Office Suite and/or similar.
Strong organizational and multitasking abilities.
Excellent interpersonal skills.
Excellent communication skills in English and Polish (preferred).
Problem-solving mindset with a proactive approach.
