WHAT YOU WILL EXPERIENCE IN THIS POSITION:

  • Provide exceptional customer service and ensure a positive impression of the site as the point of contact for all visitors whether via phone or in person.
  • Provide Office/Building related administration.
  • Maintain accurate information related to our customer database across different systems.
  • Cooperate with Customer Service and Data Analytics teams to ensure data consistency and accuracy.
  • Provide general service to all employees regarding office equipment, stationary, business cards, café and beverage, and manage the vendors.
  • Coordinate all logistics for company events and meetings to ensure employee engagement.
  • Assist to maintain conference rooms and other office areas to represent a professional image, and manage the conference room scheduling to ensure proper utilization and maintenance.
  • Coordinate all business trip transportation requests for internal employees and visitors, including all administration for appropriate visa documents for required travel.
  • Process all agency or vendor invoices and maintain all reporting of expenses.
  • Assist management with all company documentation for contracts, certification, and legal related matters.
  • Manage mail/courier processing for the site.
  • Support HR to manage employment-related onboarding or resignation procedures and other ad hoc tasks requested.

YOU HAVE:

  • Associates degree or equivalent work experience.
  • 3+ years of administration positions preferably.
  • Skills in attention to detail and accuracy.
  • Proficiency in word processing and spreadsheet software, preferably Microsoft products.
  • Skill in managing multiple tasks/projects along with the ability to work in a fast-paced team environment in a self-directed manner.
  • Ability to complete tasks on or ahead of schedule while improving techniques on performance. Always willing to go the extra mile to complete projects on schedule. Does not give up on tasks until completed in a quality manner.
  • Demonstrated ability to utilize strong written and verbal communication skills.
  • Strong sense of ownership and initiative, collaborative and flexible attitude, with the ability to execute tactics to support strategic plans.
  • Fluent in Polish & English.
