Responsibilities

  • Execute and report all ODC-required reporting activities for the Poland team, ensuring cooperation with the customer ODC team.
  • Manage guest administration and access, including visitor management and security protocols.
  • Provide administrative support to the Poland team, including accounting and order management tasks.
  • Oversee documentation and contractual management (updates, invoicing, payments).
  • Act as an ambassador for CIQ culture at the ODC, ensuring standards are adhered to (security, audits, training, policies, guidelines).
  • Support and enable ODC-related change initiatives, including transitions and special projects.
  • Coordinate with HR and IT for infrastructure updates and system changes.
  • Participate in audits and control assessments, maintaining a robust control environment.
  • Provide support in leading and enabling ODC-related initiatives and special projects.
  • Maintain strong relationships with stakeholders and key suppliers, acting as a primary interface for business unit coordination.
  • Coordinate office supplies.
  • Occasional support in event coordination.

Requirements

  • High school degree or university degree in Business Administration, Finance, Economics, Supply Chain Management, or equivalent (bachelor’s degree).
  • Proven experience in office administration, reporting, and stakeholder management.
  • Strong client/stakeholder focus within a corporate environment, with the ability to influence senior stakeholders.
  • Excellent communication and negotiation skills.
  • Ability to manage multiple priorities, often to tight deadlines, and deliver results.
  • Professional team player, motivated and highly flexible.
  • English is required; German, Italian, or French is a plus.
  • Hands‑on approach for deal execution and the ability to manage tasks end‑to‑end with minimal oversight.
