Office & Administration Manager

Role Overview:

Huntsman Corporation’s GBS Team is searching for Office & Administration Manager to our newly formed site in Krakow. The person in this position can expect to be responsible for coordinating day-to-day activities related to general office administration and managing office infrastructure. Role will be tasked with organizing site maintenance, ensuring the highest standards of safety and hygiene are maintained. To be successful you will need to interact with external suppliers, vendors, and at least with internal stakeholders. Position is based fully on-site.

Role Responsibilities:

As an Office & Administration Manager, you will be responsible for:

  1. Manage daily office operations, including facilities, reception, and administrative teams, ensuring smooth functionality.
  2. Manage the office facilities budget and approving purchase requisitions.
  3. Supervise management of GBS Hub related projects including space optimization, office expansion projects, mobile phones, ergonomic tools/furniture, key/staff cards management, IT equipment.
  4. Develop plans to enhance office facilities efficiency and effectiveness.
  5. Ensure site upkeep meets high customer satisfaction levels.
  6. Coordinate all Health & Safety related topics for the location.
  7. Oversee 24x7 security management for employee and visitor safety.
  8. Procure and manage office maintenance supplies and equipment.
  9. Serve as the central point of contact for facilities-related matters with internal teams, external vendors, and building management.
  10. Develop and maintain vendor relationships, negotiating contracts, and managing projects.
  11. Maintain clear communication of ongoing projects, maintenance schedules, and updates to stakeholders.
  12. Oversee maintenance of office facilities, including HVAC, plumbing, electrical, and security systems.
  13. Maintain accurate records of maintenance, repairs, and service contracts.
  14. Oversee business continuity scenarios and ensure process is kept up to date to support uninterrupted services.
  15. Maintain compliance with company ethics, regulations, document retention requirements, and health & safety standards.
  16. Oversee calendar with internal and external visits, training, and events.

Experience and Competencies:

We are looking for experienced candidates with excellent communication skills and a solution-focused approach.

What we are looking for:

  1. Bachelor’s degree.
  2. Experience and knowledge gained from at least 3 years work experience in similar office and administration management roles in GBS/SSC/BPO (international) environment or in managing buildings and office space in large setting ~200 people.
  3. Experience with managing a small number of people when it comes to office facilities and administration.
  4. High level of proficiency with Outlook Emails and Microsoft programs.
  5. Very good level of proficiency of SharePoint & PowerPoint.
  6. Frontline management experience or working with different core groups.
  7. Proven ability to manage budgets, vendors, and compliance requirements effectively.
  8. Ability to maintain compliance with company ethics, regulations, and health & safety standards is very beneficial.
  9. Preferably experience with Health & Safety regulations.
  10. Exceptional communication, interpersonal, and problem-solving skills.
  11. Service-oriented approach with the ability to adapt to dynamic priorities.
  12. Ability to adapt to new instructions and dynamic organizational priorities is critical.
  13. Problem-solving and decision-making abilities.
  14. Proficient English required for effective collaboration with stakeholders.
