The Office Administration Lead is responsible for overseeing daily administrative operations within the organization and ensuring the smooth functioning of administration processes and the team.

This position involves overseeing a team of administration employees and planning, organizing, and controlling activities related to administration. Responsibilities include coordinating processes such as cost control, office security, cooperation and negotiations with suppliers, and managing administrative processes and procedures. The Office Administration Lead will also coordinate all office processes, including renovations and servicing, to ensure the comfort and well-being of employees.

Requirements

  • At least 4 years of work experience in an administrative role in a global company
  • At least 1-2 years of experience in a team management role - mandatory requirement
  • Fluency in both Polish and English
  • Strong negotiation skills
  • Excellent customer service skills
  • High level of written and verbal communication skills
  • Outstanding organizational skills
  • Proficiency in Microsoft Office and high level of computer literacy
  • Cost awareness
  • Initiative / entrepreneurship
  • Analytical skills and the ability to plan and coordinate tasks

Duties and Responsibilities

  • Lead and supervise the administrative team, providing guidance and performance feedback
  • Ensure effective delegation of tasks and workload management to achieve team objectives
  • Oversee office operations
  • Supervise the office budget
  • Manage external vendors and suppliers
  • Negotiate contracts with suppliers and external contractors
  • Supervise the preparation of reports, summaries, and cost settlements
  • Supervise the creation of necessary policies and procedures in the area of responsibility
  • Support internal/external audits
  • Supervise the correct circulation of correspondence, documents, and information (including invoices)
  • Propose solutions aimed at increasing the comfort and well-being of employees
  • Supervise announcements and communication regarding events & CSR activities preparation
  • Organize various company events – planning, communication, and resources
  • Support projects building employee brand - charity and voluntary activities
  • Provide other administrative services as needed
