Occupancy Planner

We are looking for an Occupancy Planner to join our Occupancy Planning and Management Account team.

What this job involves

As an Occupancy Planner tangled in our client portfolio, you will track, analyze, and manage space and occupancy data to support our Senior Occupancy Planner. You’ll develop scenarios, analytics, space plans and projects for the portfolio across the EMEA region.

This is a HRBYID work role; candidates in the Warsaw, Poland area can work from the client’s office or the JLL office 1–2 days a week.

Key Responsibilities

Your key responsibilities will center around maintaining the client’s portfolio of space within the CAFM system, including but not limited to:

Space Data Management

  • Keep floorplan layouts, space types, furniture and employee allocations up to date.
  • Perform regular data auditing and align portfolio sites with the lease database and other systems.
  • Maintain accurate occupancy records and metrics in the CAFM system (FMS) and share/report data and insights.
  • Conduct comparative analysis of occupancy performance across properties.

Space Planning

  • Analyze current and projected space needs across portfolio properties.
  • Create detailed space allocation reports, plans and layouts: workplace programming, footprint recommendation, test fits, furniture planning, neighborhood planning and tactical planning.
  • Use Utilization and Attendance analysis to create responsive, efficient and future‑ready workplace environments.
  • Develop comprehensive occupancy forecasts and space utilization models.
  • Develop scenarios for space reconfiguration and relocation planning.
  • Respond to ad‑hoc space requests.

Strategic Planning

  • Collaborate with Transactions teams to align occupancy strategies with market conditions.
  • Support lease renewal negotiations with occupancy impact analysis.
  • Create responsive, efficient and future‑ready workplace strategies aligned to the client’s hybrid workplace model.
  • Monitor occupancy metrics and trends to identify optimization opportunities.
  • Provide data‑driven insights for strategic real‑estate decisions.

Client and Account Initiatives

  • Manage technology integration by supporting the setup of the client’s Mobile Workplace App for space bookings, wayfinding and office information.
  • Contribute to quarterly CPI initiatives and Quarterly Business Reviews (QBR).

Businessល Intelligence

  • Extract and analyse data to support BI dashboard development for Occupancy Planning, the client and the account.
  • Contribute to AI integrations with client, account and personal initiatives to increase productivity and strengthen deliverables and insights.

Skills and Experience

  • Strong AutoCAD and Excel capabilities.
  • Advanced辅 data analytical skills and ability to articulate stories through data.
  • Attentive to detail and accuracy – particularly numbers مهمة spatial creativity.
  • Highly organized and systematic.
  • Working knowledge of occupancy utilisation, office design principles and trends such as the hybrid workplace is preferred.
  • Preferential Bachelor’s Degree in Real Estate, Finance, Architecture, Design, Construction Management or a related field.
  • Ability to lead through influence.
