About The Role
Suppose you are considering the challenge of becoming an integral part of the International Logistics and Planning Department for a leading internationally-focused organisation. In that case, this may be an opportunity for you to grow with the company. We require a dedicated and innovative character to work with internal and external clients, assist in the efficient management of production and Planning, and effectively support leaders and employees within all aspects of the work. You will be reporting to the Head of Planning and the first contact point for the country offices, working in the business context and within budget.
Responsibilities
- Ensure the accurate review and approval of invoices submitted by logistics service providers.
- Monitor, analyse, and report on variances in logistics costs; lead initiatives to address root causes and implement corrective actions.
- Act as the primary point of coordination between internal stakeholders, customs authorities, and freight forwarders to resolve operational exceptions and ensure seamless process execution.
- Prepare and validate all import and export documentation; collaborate with customs brokers and regulatory agencies to ensure full compliance with international trade, customs, and duty regulations.
- Oversee export documentation processes and maintain effective communication with customs clearance partners to support timely and compliant export activities.
- Manage end-to-end outbound logistics operations, including container booking, shipment scheduling, and carrier coordination.
- Track the movement of inbound and outbound containers, ensuring accurate status reporting and systematic documentation archiving.
- Provide complete and timely documentation in response to customs inspection requirements.
- Lead the performance evaluation and relationship management of customs brokers and freight forwarders; support due diligence and onboarding processes for new logistics vendors.
- Oversee product classification in accordance with Polish HS Code regulations to ensure compliance with internal policies and customs requirements.
- Drive the achievement of key logistics performance indicators, including timely customs clearance and maintaining a minimum 90% on-time delivery performance.
- Maintain rigorous control over logistics expenditures and ensure alignment with approved annual budgets.
Qualifications & Experience
- Education: Bachelor’s degree or higher in Logistics, International Trade, Supply Chain Management, or a related discipline.
- Experience: Minimum of 5 years of progressive experience in logistics, transportation, supply chain management, or customs brokerage. Deep understanding of import/export operations and customs regulations. Prior experience working with customs brokers and managing cross-border logistics is strongly preferred.
- Technical Proficiency: Advanced proficiency with Microsoft Office 365; working knowledge of ERP logistics modules is required.
- Language Capability: Fluent in English and Polish, with strong verbal and written communication skills. Chinese will be a huge plus.
- Cultural Alignment: Comfortable operating within a Chinese corporate environment, with the ability to adapt to its management style and organizational culture.
- Core Competencies: Highly proactive and results-driven; exceptional organizational, analytical, and problem-solving skills; meticulous attention to detail; strong sense of ownership and execution discipline.
