Tasks:
- Manage IT programs and projects with a focus on scope, budget, schedule, risk and resource management
- Manage the specifics of IT solutions in collaboration with all project stakeholders
- Act as a partner to the IT vendor in the context of programs and projects
- Continuously monitor and manage risks in assigned projects, including risk mitigation
- Proactively improve project management methodologies. Ensure effective communication with all project stakeholders (internal (local/global)/external)
- Actively participate in the project initiation process by conducting the initial analysis (with TAM input), describing the IT architecture (with Solution Architect input), estimating costs and conducting the Business Case description, deciding on the methodology in which the project will be conducted (Agile vs. Waterfall)
- Managing entire programs (as collections of related projects)
o Advising on program composition and dividing program scope into projects
o Controlling and reporting to the PM on topics:
IT project budget: available, ordered, spent
schedule: including schedule details agreed with IT vendor risks and issues
Develop and maintain a detailed project schedule for IT planning purposes
Planning IT resources for future tasks and ensuring their capacity
Acting as the owner of a specific part of the planning backlog on the IT side, monitoring new initiatives, advising the Business Development Department on the best course of action
Supporting the Business Development Department representatives in the discussion of new initiatives in their functional area
Participate in the quarterly planning process
- Support in the development of IT solutions
o In the context of the program and project - leading the architecture design process with the Solution Architect
o Contribute to the infrastructure selection decision - cloud vs. on-premise
o Ensuring security and compliance approval for the designed IT architecture
o Implementing any required changes to the program and project schedule, and managing risks if design compromises need to be made
o Lead and participate in the development of Solution Design best practices for newly developed IT architecture areas
- IT Supplier Management
o Act as a single point of contact for the IT Supplier(s) in the context of programs, projects and overall functional area; proactively challenging the Supplier when required,
o Ensure an organised flow of information between the Contractor and the Supplier(s)
o Manage Supplier-related risks, mitigating and escalating as necessary
o Advise Vendor Business and Management on the Vendor relationship development plan, potential new Vendors and actively participate in the Vendor selection process.
- Risk and problem management. In the context of the program and project, check:
o a log of risks and issues is managed and regularly updated
o risks and issues are classified according to their priority
o creation of mitigation and remediation plans for risks and issues of high criticality.
o Acting as the owner of program and project risks and issues on the IT side
o Engaging management on risks and issues that require additional attention
o Supporting other IT project managers and other IT staff in proactively managing and mitigating/resolving risks/issues.
- Proactively improve project management methodologies
o Acting as an expert in one or more areas - both internally in IT and externally
o Sharing knowledge of one's own domain in a structured manner
- Other:
o Establish and maintain key relationships with senior stakeholders (Department Directors)
o Leverage relationships with Department Directors to steer and guide the creation of new initiatives aligned with IT and Business Strategy
o Supporting the business strategy definition process by providing input on IT capabilities in their area of expertise
o Act as an internal IT consultant to business
o Perform other broad IT project management tasks as agreed upon with the supervisor
- The detailed scope of projects/programs in which the specialist participates will be sent on a quarterly basis and is driven by quarterly planning.
Profile:
1. university education
2. experience in IT - a minimum of 5 years in the position of IT Project Manager/Coordinator
Additional professional qualifications:
1. Certification in project management (e.g. Prince2, PMP or equivalent)
2. ITIL (Foundation level) - recommended
3. knowledge of MS Office and Atlassian Toolbox packages.
