Job Purpose

The role is part of the HR Shared Service team and focuses on the built-up and HR support for the newly opened Straumann office in Wroclaw. The role will focus primarily on different administrational tasks, transactional HR-processes and service delivery to our employees, managers, and other internal/external stakeholders. The role interfaces with other HR functions and can/may include project support.

Main Tasks and Responsibilities

  • Manages all tasks related to the employee’s lifecycle from entry to exit.
  • Acts as first point of contact toward employees and managers for all HR-Services related queries and supports the HR Business Partners and Talent Acquisition Team in general administrative tasks.
  • Control and communicate all hires, employment changes, salary and personal data changes, and terminations of employees with the external payroll provider.
  • Generation of all types of formal letters / employment documentation (annual compensation review, annexes, additional clauses, individual agreements).
  • Provides highly responsive HR advice and service delivery related to labor law, international HR management (Visa/ Work Permit and Relocation) and current HR policies and practices.
  • Owns administration of employee lifecycle events as well as any type of organizational / employment contract changes.
  • Data Maintenance of certain master data in our core HR System and other platforms (e.g. benefits).
  • Responsibility of Time & Attendance maintenance & monitoring.
  • Support in the review and validation of the monthly payroll prior to payment execution with the external payroll provider, including social security and tax matters.
  • Handling of electronic personnel filing.
  • Ownership of monthly onboarding for new employees, including allocation of training sessions, conducting training, communication & follow-ups.
  • Close collaboration with our Corporate HR-Team and regional teams, as needed.
  • Involvement in the annual salary and short-term-incentive round.
  • Management and data maintenance of social benefits (platform data maintenance and data exchange).
  • Documentation of HRSS operational processes.
  • Develop, update and publish the area’s policies.
  • Project related tasks as applicable.
  • Support the team & direct manager with PowerPoint or another document / file creation.

Additional Tasks and Responsibilities

  • Collaboration with the occupational risk prevention area.
  • Other tasks as per HR Shared Services agenda / priority list.

Requirements

Education

  • University or similar degree studies related to Labor Relations, Psychology, Business Administration and Management.
  • Masters in Human Resources direction and management.

Experience

  • At least 3 years of professional experience in a comparable function (HR Shared Services Specialist in a customer focused, multinational business environment; preferably worked in a Shared Service/Centre of Excellence environment before).
  • Knowledge of Polish labor law and basics of Polish payroll, social security and tax scheme.
  • Fluency in English (B2 or higher).
  • Project experience (nice to have).
  • Proficient user of HR databases/systems (e.g. SAP SuccessFactors).
  • Very good knowledge of MS Office 365.
