HR Hub Senior Associate

Role Description

Job Summary

The HR Hub Senior Associate is responsible for providing independent day-to-day support for Strada colleagues and managers in various areas of HR administration, e.g. preparing documents, processing transactions of medium and high complexity level, preparing and analyzing reports, providing best resolution to complex queries and investigating issues and proposing solutions to fix problems.

The HR Senior Associate demonstrates high attention to detail, meeting high quality standards and timeliness for assigned tasks and cases in line with Service Level Agreement (SLA’s). The Senior Associate takes active role in HR projects, lead them independently with limited supervision, understands local regulations and requirements, update any ongoing changes and have high attention to detail and quality. The Senior Associate should be a role model and supports less experienced colleagues to meet SLAs and find solutions.

The Senior Associate ensures all information related to Strada colleagues is accurate, held and processed appropriately and confidentially supporting Specialist and Team Manager in assigned tasks.

Senior Associate would be expected to progress within the role with assumption to be promoted into a HR Hub Specialist. Job Profile with progressively growing scope of work and complexity of job after this period.

Key Responsibilities

  • Ensure to prioritize any emergency as per HR Hub managers instructions.
  • Demonstrate ownership for assigned processes and projects tasks, prioritizing work independently to deliver to deadlines and quality standards with limited supervision.
  • Manage mid-level and high-level escalations, taking relevant action or escalating as appropriate. Propose improvements to prevent further ones.
  • Analyze information and identify trends to solve discrepancies, conduct audits and quality checks for assigned tasks / reports / peer review quality checks.
  • Take initiative for reviewing and suggesting improvements for the team’s daily work, processes and procedures.
  • Participate in system and process changes, testing the impact of changes and their effectiveness. Being able to support configuration setup of the systems.
  • Complete assigned projects tasks and actions within the defined deadlines.
  • Organize and lead meetings and calls independently or with very limited supervision; prepare summaries and notes as appropriate.
  • Subject Matter Expert for assigned processes and knowledge areas.
  • Support team members by providing training and guidance on complex cases. Prepare process documentation and SOPs, coach colleagues to reach a solution for unclear cases.
  • Deliver clear and easily understandable messages to the team and stakeholders, maintaining correct tone and communication style.
  • Complete activities and goals that positively contribute to team performance (e.g. execute best practices, techniques and solutions).
  • Build relationships and effectively cooperate with stakeholders. Ask questions to understand partner’s needs, sharing expertise and making recommendations to provide appropriate solutions.
  • Be an onboarding buddy to new colleagues and support less experienced buddies in their role. Actively contribute to excellent new joiner experience.
  • Accept feedback with openness and incorporate suggestions and improvements as appropriate.
  • Share constructive feedback with colleagues on daily processing work and quality levels to improve the overall delivery in the team.
  • Work in line to the Strada Values as well as the team principles shared by HR Hub managers.
Supervision and Leadership

  • Work independently on complex cases but may require support with newly introduced or challenging situations, e.g. when number of queries noticeably exceeds expected volumes.
  • Seek guidance when appropriate and make recommendations for solutions.
  • Support less experienced colleagues to solve challenges encountered in the team. May need guidance in challenging situations e.g. managing reactions and emotions).
Knowledge, Skills, Abilities, And Experience

Knowledge, Education, Certification, Skills & Technical Proficiencies

KNOWLEDGE

  • Understand and articulate local regulations and compliance driven requirements and properly use them in practice, act as Subject Matter Expert (SME) for assigned processes
SYSTEM KNOWLEDGE

  • MS Office practical – Excel (including V-lookups and reports), Word, Outlook
Desirable

  • Workday, HR systems, SharePoint,
  • Knowledge and understanding of query / case management tools
EDUCATION

  • Desirable university faculty Human Resource, Administration, Analytical or similar
Analytical Skills

  • Very high attention to details
  • Strong ability to analyze data and check its accuracy
  • Strong ability to think logically and outside the box
  • Strong decision making and problem-solving skills
  • Independency in complex queries resolution
  • Work under tight deadlines managing multiple tasks
Language Skills

  • English - written and spoken -high communication level – C1 is a must
Work Experience

1,5-2,5 years in area of:

  • Overall HR / workforce administration environment / employee life cycle / recruitment / payroll / background checking
  • Experience working in a team-orientated, collaborative environment
  • Experience working within corporate environment
  • Understanding of client requirements and how to provide advice
  • Ability to identify and close gaps in processes and procedures within own or colleagues’ work.
