About a role:
The main purpose of this role is to ensure the efficient, accurate, and timely execution of operational tasks related to HR administration and payroll processes, in compliance with defined deadlines and internal procedures. This includes the management of employee portal modules, document management, preparation of payroll inputs, and coordination of communications with employees, internal departments and other stakeholders
This role will be the first point of contact for employees, internal teams, and employee representatives regarding HR administration and payroll-related inquiries. The position also involves handling requests through ticketing tools, ensuring data quality, operational traceability, and adherence to internal protocols.
Ensure service consistency and compliance across 23 Spanish entities, 22 work centers, and 39 collective agreements, adapting operational procedures to local labor requirements.
RESPONSIBILITIES:
- Actively participate in all stages of the employee lifecycle (onboarding, offboarding, contract changes), including information collection, appointment coordination, communication management, and preparation of payroll and HR administration inputs.
- Validate and process requests submitted through employee portal modules (absences, overtime, personal data updates).
- Respond to and resolve inquiries and issues related to assigned portal modules, ensuring service quality and adherence to standards.
- Manage requests from employees, unions, and internal departments using ticketing tools, with strong focus on efficiency and quality of service.
- Effectively manage communications related to HR Admin and Payroll processes, ensuring clear and professional interaction with all stakeholders.
- Analyze and prepare payroll-related data according to deadlines and defined requirements.
- Generate, organize, and archive documentation based on established procedures and traceability requirements.
- Provide accurate information regarding shipping costs, transit times, and shipment status.
REQUIREMENTS:
- University degree or technical training in Human Resources, Labor Relations, Business Administration or related fields.
- 3 to 5 years of experience in similar roles, ideally within shared services or complex organizational structures.
- Strong analytical skills and database management experience.
- Proficient in Microsoft Office 365, especially Excel and Word.
- Operational knowledge of HR administration and employee services.
- Previous experience using HR SAP.
- Basic knowledge of payroll processes and Spanish labor legislation.
- Experience with ticketing and workflow tools (mainly NEOCASE, ServiceNow or Jira).
- Fluency in English and Spanish.
