Inviting applications for the role of GCS Dispensing Order Management Operations Coordinator-Domain Trainee-English-Remote Poland

As part of our Global Customer Services (GCS) department, the Dispensing Order Management Coordinator oversees a portfolio of international customers and manages all activities related to the order-to-cash processing of capital equipment, accessories, and spare parts. The role also includes organizing the daily activities of the team of Dispensing Order Management Analysts in collaboration with the Team Leader, overseeing processes, owning performance tracking, and providing proficient knowledge of system infrastructure and order-to-cash processes, including supply chain support.

Responsibilities

  1. Coordinating order-to-cash activities including order processing, service contract lifecycle management, field service support, and supply chain support.
  2. Collaborating with internal stakeholders such as PMO, Commercial organization, Application specialists, Supply Chain, Order Management US, Customer Service (CSL, etc.), Finance, and Master Data.
  3. Owning performance KPIs and reporting to the business.
  4. Administering systems supporting Dispensing Order Management (SFDC, SMX, SAP, LOTS, etc.).
  5. Receiving, responding to, and resolving internal and external escalations.
  6. Ensuring all relevant processes are performed per internal SOPs and Service documentation.
  7. Adhering to organization and department policies, quality procedures, and protocols.
  8. Achieving excellence in day-to-day activities.

Operations Coordinator

  1. Coordinating and owning the day-to-day activities for the team, in alignment with the Team Leader.
  2. Overseeing processes and details of how the team reaches daily operational goals.
  3. Ensuring effective allocation of resources according to workload in alignment with the Team Leader.
  4. Ensuring effective delivery of service to internal and external stakeholders.
  5. Providing operational support to Order Management Analysts.
  6. Supporting team process skeleton build-up.
  7. Acting as the Single Matter Expert for system and process transitions and updates.

Order Processing

  1. Ensuring all relevant master data is correctly set up in the systems.
  2. Liaising with Project Management, Service, Sales, and Manufacturing to share accurate data related to equipment setup.
  3. Processing orders through multiple systems based on Purchase orders received from customers.
  4. Handling internal and external inquiries and supporting documentation related to the process.
  5. Monitoring and taking appropriate action on open orders with suppliers of BD products.
  6. Providing follow-up updates to implementation and service teams about the status of an order.
  7. Processing any shipment claims received from the implementation team and customers.
  8. Ensuring revenue is posted accurately at month, quarter, and year end.

Service Contract Lifecycle Management

  1. Creating and maintaining Service contracts based on GCS Managers or Sales instructions.
  2. Renewing Service contracts before their expiration.
  3. Managing Service contract updates and terminations.
  4. Ensuring invoices are generated and revenue is recognized according to the billing schedule.
  5. Processing necessary invoice claims received from Customers.

Field Service Support

  1. Processing demands for spare parts car stock replenishment and following up on deliveries.
  2. Processing necessary transactions to keep inventory up to date.
  3. Coordinating yearly stock counts and related inventory adjustments.

Supply Chain

  1. Coordinating exceptional delivery requirements of BD products through Supply Chain with warehouses.
  2. Replenishing hardware and accessories inventory in our central warehouse.
  3. Coordinating all activities related to EXW shipments from San Diego to Distributors in EMEA and Asia.
  4. Ensuring Inventory for local warehouse is correct and managing Inventory and freight costs against revenue.

Coordination/Communication

  1. Enabling effective communication with Customers, verbally and in written form.
  2. Coordinating with GCS Managers and Sales on activities related to the implementation of ordered products.
  3. Administering systems supporting the activities (LOTS, ServiceMax, SAP, Sales Force).
  4. Taking the role of subject matter expert in new projects around supply chain and order management.

Continuous Improvement

  1. Making proposals on practices and processes improvement.
  2. Providing guidance on Dispensing Order to cash processes.
  3. Periodically providing reports on the activity.

Qualifications we seek in you!

Minimum Qualifications

  1. University degree and/or relevant internal experience.
  2. Relevant experience in vendor relationship management, Customer Service, and/or Supply Chain.

  13. Excellent communication skills.
  14. Motivation, confidence, and willingness to make tough decisions.

Languages

  1. Fluent in English, both verbal and written.

Travel Requirements

  1. Up to 10% travels within the region will be required.
