Responsibilities & Outcomes
- Personal Operations: Own the founder’s inbox, calendar, priorities, and follow‑through.
- Admin Management: Banking, leases, visas, real estate, payments, and recruiting pre‑screening.
- Travel & Podcast Logistics: Coordinate all logistics for travel and podcast appearances.
- Investing & Real‑Estate Management: Manage investment portfolio and real‑estate holdings across France, Portugal, Spain, UAE.
- Decision Support: Provide options, trade‑offs, and recommendations so the CEO can focus on strategic decisions.
- Negotiation: Negotiate with banks, vendors, service providers to secure best pricing, terms, and market standards.
- Scalable Operating Systems: Build processes, AI tools, and knowledge bases that support multi‑country operation.
- Finance & Admin Ops: Ensure invoices, contracts and documentation are tracked and resolved with continuous cost and tool audits.
- Employee Onboarding: Manage onboarding of employees in Dubai (contract signatures, admin).
- Outcome: CEO is no longer required for follow‑ups, coordination, problem‑solving; decisions reach the founder prepared with options and clear recommendations.
Qualifications & Experience
- 3+ years supporting C‑suite or a demanding founder.
- Strong service orientation: love to make life easier for others.
- Drive & Problem Solver: work hard, own tasks, and get them done early.
- Thrives in chaos, anticipates needs, and reacts quickly to last‑minute changes.
- AI & Digital Savvy: Obsessive about Notion, Airtable, and new digital tools.
- High attention to detail, mind reading, and strong communication.
- Project management skills; fast‑paced environment experience.
- Fluent English.
Language & Travel
- Fluent English is required.
- ✈ Travel to Dubai or Paris 2–3 times per year (especially early on) to connect with the CEO in person.
