As Executive Assistant to Global Vice President , you will be responsible for organizing project teams, assigning individual responsibilities, developing project schedules, and determining resource requirements.
In this role, a typical day will include:
Project Management Support:
- Communicating directives and information from the Head of T & CI (Global Vice President) to executives, managers, and others in the organization and following up on the status of assignments.
- Collaborating and assisting in planning, monitoring, and executing projects, ensuring timelines and objectives are met.
- Tracking progress and preparing reports to keep stakeholders informed of project status.
- Coordinating meetings, reviews, and project documentation across teams.
- Helping resolve issues and providing solutions to keep projects on track.
- Ensuring all project-related communication is organized and shared with relevant stakeholders.
Executive Assistant Duties:
- Providing high-level administrative support to executives, including calendar management, travel arrangements, and meeting coordination.
- Preparing and proofreading reports, presentations, and correspondence for executives.
- Assisting in the preparation of team meetings, including scheduling, preparing agendas, and taking minutes.
- Performing general office duties, such as coordinating events for TCI leaders and ensuring the smooth day-to-day operations.
WHAT YOU’LL BRING TO ALCON:
- Bachelor’s degree in business, management, or related field (or equivalent work experience).
- 5+ years of experience in project management support, executive assistance, or a similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Exceptional organizational and multitasking skills with the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong problem-solving abilities and attention to detail.
Preferred Skills:
- PMP (Project Management Professional) certification or other project management training.
- Experience supporting senior executives or C-suite level personnel.
