Job Summary:
Were looking for an experienced, detail-oriented, and proactive Executive Personal Assistant to support our CEO in driving the companys vision forward in a dynamic and fast-paced environment.
As the Executive Personal Assistant to the CEO, you will play a critical role in ensuring the smooth functioning of the CEOs agenda, providing high-level administrative support, and handling a wide range of duties to enable the CEO to focus on strategic initiatives and core business responsibilities.
What you will be doing:
- Calendar and Schedule Management: Efficiently manage the CEOs and CFOs calendars, including scheduling meetings, conference calls, and coordinating travel arrangements. Prioritize and optimize the CEOs and CFOs time to ensure maximum productivity.
- Communication Liaison: Act as the primary point of contact between the CEO, CFO and internal/external stakeholders. Handle correspondence, phone calls, and emails, while demonstrating professionalism and confidentiality.
- Information Management: Organize and manage information flow. Prepare and review documentation, reports, presentations, and briefing materials as needed.
- Project Support: Assist in managing and tracking various projects, ensuring deadlines are met and progress is effectively communicated. Coordinate with different departments to drive initiatives forward.
- Travel Coordination: Plan and manage complex travel itineraries, including international travel, accommodation, and logistics. Anticipate and handle last-minute changes or adjustments efficiently.
- Meeting Support: Prepare agendas, take meeting minutes, and follow up on action items. Coordinate logistics for board meetings, leadership meetings, and other high-level gatherings.
- Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and discretion.
- Task Prioritization: Anticipate the CEOs and CFOs needs and proactively manage tasks, ensuring that urgent matters are addressed promptly.
- Special Projects: Take on additional assignments and ad-hoc projects to support the CEO and CFO and contribute to the efficiency and effectiveness of the executive office.
Qualifications:
- Bachelors degree or equivalent work experience.
- Proven experience as an Executive Assistant or Personal Assistant supporting C-suite executives in a global tech, corporate or similar fast-paced environment.
- Exceptional organizational and multitasking abilities with a keen eye for detail.
- Excellent written and verbal communication skills.
- Proficiency in office software and productivity tools (e.g., Microsoft Office, G Suite).
- Adaptability, resilience, and the ability to work effectively under pressure.
- Discretion and the ability to handle confidential information professionally.
- Strong problem-solving skills and the capability to navigate ambiguity.
- Flexibility to work beyond regular hours to support the needs of the CEO.
