What you will bring to the Team
Must have
- Proven experience as an Executive Assistant, Personal Assistant or Office Manager supporting senior management or C-level.
- Perfect professional-level English (C1 / C2) — you’ll be working with international stakeholders every day.
- Strong skills in calendar management, travel coordination (domestic & international), meetings and event planning.
- Excellent organisational and time-management capabilities, able to prioritise competing demands.
- Proficiency in Google Workspace or Microsoft Office, and comfortable using collaborative tools (Slack, Notion, etc.).
- Occasional out of hours / reactive availability will be required as the team travels across time zones.
Nice to have
- Experience in a fast-paced SaaS or tech environment.
- Background in expense management, vendor coordination or basic finance/admin support.
- Familiarity with process improvement and tool optimisation (you’ve suggested or implemented admin/hybrid workflows).
- Experience liaising with internal cross-functional teams and external partners/investors.

Your Mission
As an Executive Assistant (EA), you will support our International Management Team (C-Suite) spread across Europe. You will enable the Leadership Team to focus on strategic priorities by expertly managing calendars, travel plans, meetings, expense workflows and other admin processes with accuracy and confidentiality.
You’ll be the rhythm-keeper for the team: ensuring operational smoothness, effective stakeholder communication and proactive administrative support. The role is based in Kraków, reports to Head of People and Culture and has a high degree of autonomy.
What Success Looks Like In The First 6-12 Months
- You become a trusted partner to each management team member, their first point of operational coordination.
- Calendars, travel plans and senior leadership meetings are running fluidly, with minimal friction or bottlenecks.Administrative processes (expense reporting, meeting prep, follow-ups) are streamlined and consistently executed.
- You introduce enhancements or tools that improve rhythm and clarity (e.g., unified travel/meeting templates, dashboards).
- You represent the leadership team internally and externally with professionalism, clarity and responsiveness.
