The Role

Location: Krakow or Gdansk AMS Office - hybrid (min. 1 day/week onsite)

Full time, paid from day one.

Two weeks intensive classroom and on‑the‑job training at programme start.

Start date: November (subject to change).

Working hours: 10:00-18:00 CET.

About the Role

An established global consultancy is hiring an experienced Executive Assistant to provide high‑calibre, proactive support to senior leaders and project teams. You will join via the Recruit Train Deploy programme: you receive focused training, then deploy to client and internal teams for the duration of the contract with development support available throughout.

You will be trusted to manage complex diaries, coordinate governance meetings, prepare executive documentation, take clear minutes, administer critical data systems, and liaise confidently with C‑suite and partner‑level stakeholders across a matrix organisation.

What you’ll be doing:

  • Manage complex diaries and shared calendars for senior leaders and project teams; coordinate cross‑team scheduling to minimise conflicts.
  • Organise and coordinate governance and project meetings, including logistics and participant alignment.
  • Draft and circulate concise minutes, clear action logs, and follow up to ensure timely completion of actions.
  • Serve as a primary contact for senior stakeholders and internal teams; elevate issues and follow through to resolution.
  • Maintain and update records and documentation in firm systems and quality tools; ensure data accuracy and timely updates.
  • Manage travel arrangements, expenses, meeting materials, and executive correspondence with high discretion.
  • Monitor and respond to a central mailbox related to quality, risk, or executive queries as required.
  • Provide ad‑hoc operational and administrative support to teams and participate in small project coordination tasks.

Essential Skills and Experience

  • Strong diary management, scheduling, minute taking, and documentation skills.
  • Excellent stakeholder management and confident communication with senior leaders.
  • Experience working in fast‑paced, matrix organisations, preferably within professional services, financial services, or consultancy.
  • Strong organisational, follow‑up and time management skills with a proactive, take‑the‑lead approach.
  • Proficient with Microsoft Outlook, MS Teams and the Office suite.
  • Fluency in English; additional Polish language skills highly desirable.
  • Familiarity with Jira, Jupiter or other case/issue tracking and quality management tools.
  • Previous exposure to governance, compliance or risk management processes.
  • Experience working across multiple time zones and supporting international stakeholders.
