Executive Assistant – Standard Chartered

The role sits within our Executive Assistant Team, created 2 years ago in Poland, and is part of the Global Team. It provides administrative support for Polish and non‑Polish internal C‑level stakeholders in Poland and across various locations in Europe.

The position is based in GBS Warsaw, which has been certified 3 times as a Great Place To Work and Company Without Barriers. We offer a hybrid work model (3 days per week from the office and 2 days from home) with working hours 09:00‑17:00.

Key Responsibilities

  • Mailbox/Calendar management.
  • Meeting/Event management.
  • Travel & Expenses management.
  • Administrative activities.
  • Third‑party supplier and/or vendor management.
  • Service management.
  • Project/change management.
  • Regulatory and Business Conduct.
  • Undertake adhoc assignments or mini projects – project manage appropriately to ensure deliverables are as per target timeline, with regular progress updates provided to stakeholders or accountable executive.

Skills And Experience

  • 2+ years relevant work experience as an Executive Assistant, Personal Assistant or Administrative Assistant.
  • Experience in dealing with senior internal and external/customer stakeholders.
  • Adaptability to different executive styles: ability to swiftly adapt to various management styles and preferences of different executives.
  • Excellent communication and interpersonal skills.
  • Creative thinking, ability to work proactively and independently.
  • High attention to details.
  • Advanced organisation, prioritisation and time‑management skills.
  • Willingness to learn, share responsibilities, facilitate collaboration, and support the success of others.
  • Fluent operating skills of MS Office (Word, Excel, Outlook).
  • Fluency in English (written and verbal).
  • German and/or French language skills will be an added advantage.
  • Any secretarial course or certification will be an added advantage.
