Manage the inbox by prioritising correspondence, maintaining an organised structure, filing emails systematically, and responding on behalf of the stakeholder when appropriate.
Oversee complex calendar and meeting management, including scheduling, resolving conflicts, preparing agendas and materials, attending meetings, and distributing minutes and action items promptly.
Coordinate end‑to‑end travel arrangements such as flights, rail, accommodation, visas, insurance, and detailed itineraries, ensuring all logistics are accurately reflected in calendars.
Handle expense and budget administration, including timely submission of claims, support with invoice processing, and monitoring budget activity as required.
Prepare, update, and maintain documentation such as reports, presentations, and professional correspondence.
Support project coordination by researching and analysing information, preparing status updates, tracking milestones, and escalating risks or issues when necessary.
Maintain strict confidentiality, adhere to internal policies and regulatory requirements, and build trusted, reliable relationships with stakeholders.
WYMAGANIA:
REQUIREMENTS:
Minimum 3 years of experience working within international structures, preferably in a consulting or legal firm.
Minimum 3 years of experience in a similar role (administration, executive assistant, office manager)
Fluency in English (C1) and Polish, with daily work conducted in English
Strong proficiency in Excel, PowerPoint, and Word
Excellent organisational skills and a strong sense of responsibility for assigned tasks
Highly developed ability to absorb new information and adapt to dynamic changes
Knowledge of French (or another additional langugage) will be considered an additional asset
