Responsibilities

Events Specialist will be responsible for planning and execution of marketing events (including virtual events, webinars, tradeshows, and associated projects) with a focus on fostering engagement, building sales‑lead pipeline, and driving revenue. This role ensures that these are executed in line with the defined strategy, meet goals, and are completed on time and on budget.

Key Responsibilities

  • Project manage trade shows, events, and sponsorships to support MSA’s business goals and marketing strategy
  • Lead day‑to‑day management of trade show logistics. Including, but not limited to:
  • Coordinating planning meetings and developing timelines
  • Manage show/event vendor relationships with event organisers, hotels, convention centres, stand builders and organisations
  • Managing shipping and set‑up of booth properties and products
  • Manage corporate booth properties and products used for tradeshows
  • Selecting and coordinating efforts with vendors
  • Coordinating show registration for all MSA attendees
  • Booking hotel accommodations for MSA guests and attendees
  • Researching, selecting and overseeing production of promotional items, e.g. staff shirts, giveaways, etc.
  • Managing schedule, staffing and fielding questions
  • Communicating plans, updates and progress to booth team and show attendees
  • Managing budget, including pre‑ and post‑show reports
  • Develops pre‑event training agendas for event workers, working cross‑functionally to create training content
  • Attends events as required to support with event set‑up, execution and wrap up, acting as the main point of contact for all other MSA attendees.
  • Assists with facility tours, as required, for key customer accounts or visits.
  • Works with Senior Regional MarCom Manager and Events Lead on final EMEA events calendar. Supports with coordination of final event including promotional activities to ensure they are completed correctly and on time.
  • Coordinates MSA’s Branded Apparel and Promotional Items as needed by all departments
  • Vendor Management: works closely with supplier(s) to coordinate business needs. Requesting quotes, reviewing pricing and ensuring quality standards are met. Manage order timeline and shipping logistics.
  • Brand Consistency: Ensure merchandise follows brand guidelines, review and approve product mock ups and samples.
  • Inventory Management: Track stock levels of existing items, reorder when supplies are low, coordinate fulfillment logistics.
  • Budgets: Provide reports and feedback on usage and inventory depletion.
  • For large or custom apparel or promotional item orders, works with vendor partner on behalf of all MSA departments on proposals, product selections, design, and delivery.

Qualifications

Experience required:

  • 3+ years of broad marketing communications experience
  • Excellent organisation and multi‑tasking skills
  • Extremely deadline and detail‑oriented and able to track, handle and maintain multiple projects at once
  • A self‑starter who takes charge and operates in a hands‑on manner

Experience preferred:

  • Ability to work with diverse personalities, backgrounds and experience levels
  • Experience of marketing communications
  • Solid personal computer skills, including familiarity with Microsoft Office Suite applications, Adobe, Google AdWords, and Google Analytics

Education required:

  • Undergraduate BA/BS Degree in Event Planning, Hospitality, Marketing, Public Relations, Communications or equivalent experience

Travel:

  • Up to 20% travel as necessary to key marketing events to ensure success.

Weekends and after hours are expected as it relates to show hours and planning.
