We are currently seeking an experienced Department Support Specialist to join our team in Poland. This positions responsible for providing administrative support to warehouse management, managing warehose operators’ working hours, and maintaining accurate records of operational activities. The idea candidate will have a strong understanding of warehouse operations, excellent organizational slills, and the ability to handle multiple tasks in a dynamic environment.

Key Responsibilities:

-       Provide administrative support to the warehouse management and other key personnel, including managing schedules, coordinating meetings.

-       Maintain and organize warehouse files, ensuring all documents are accurate, up-to-date, and easily accessible.

-       Monitor and track the working hours of warehouse operators, ensuring compliance with labor laws and company policies.

-       Maintain accurate records of employee attendance, overtime, and shift changes.

-       Assist in scheduling shifts, ensuring optimal coverage to meet operational needs while managing employee time-off requests.

-       Generate regular reports on warehouse performance, labor utilization, and other key metrics for review by management.

-       Assist with the analysis of data to identify trends, inefficiencies, and opportunities for improvement.

-       Conduct regular audits of timekeeping and attendance records to ensure compliance with company standards.

-       Provide support during peak periods or special projects, including assisting with data entry, documentation, and other tasks as needed.

-       Help identify process improvements to enhance the efficiency and effectiveness of warehouse operations.

Qualifications:

-       High school diploma or equivalent required; Bachelor’s degree in Business Administration, Supply Chain Management, or a related field is preferred;

-       2 or 3 years of experience in an administrative or support role within a warehouse or logistics environment;

-       English B2;

-       Fluent Polish;

-       Ukrainian as an advantage


Skills:

-       Strong organizational and multitasking abilities;

-       Excellent verbal and written communication skills;

-       Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);

-       Familiarity with warehouse management systems (WMS) and timekeeping software is a plus;

-       Ability to work independently and handle multiple priorities in a fast-paced environment;

-       Attention to detail and a commitment to accuracy in record-keeping.
