Responsibilities

  • coordinates and attends board meetings, including the preparation of agendas, briefing materials, and post-meeting documentation such as minutes and resolutions, ensuring all records are produced accurately and delivered to clients within agreed timeframes,
  • prepares, reviews, and manages legal and corporate documents (share issuance/redemption agreements, engagement and representation letters), ensuring compliance with internal procedures and statutory deadlines,
  • maintains and processes legal, administrative, and corporate records, including transaction files, meeting documentation, financial statements, and control checklists to guarantee accurate and timely handling of fund-related information,
  • interprets and works with legal and transactional documentation, such as facility, share transfer, pledge, and subscription agreements, ensuring a sound understanding of their structure and implications,
  • acts as a communication point for external stakeholders (clients, board members, legal advisors, notaries, auditors), managing standard requests and ensuring prompt and professional follow-up,
  • identifies and escalates client concerns or operational issues to the relevant teams, following established internal procedures to ensure timely resolution and client satisfaction.

Requirements

  • previous experience in corporate administration or fund management, knowledge of Luxembourg company law would be considered an advantage,
  • university degree in Law, Business Administration, Finance, or a related field,
  • fluency in English (C1 level or higher), French language skills would be an asset,
  • excellent organizational and analytical mindset, with attention to detail,
  • strong written and verbal communication abilities,
  • proactive in staying informed about industry trends, legal updates, and regulatory changes,
  • ability to work effectively under pressure, manage tight deadlines, and adapt to new tools and procedures,
  • knowledge of MS Office.
