Job Description

We are supporting a leading international financial services organization in their search for a Brokerage Client Services Administrator to join their team in Warsaw. The organization is recognised for its commitment to operational excellence, innovation, and professional development. Their Warsaw office plays a strategic role in supporting both regional and global functions, fostering a culture of collaboration and continuous improvement.

The Brokerage Client Services Administrator will support the Client Services team in managing client billing, trade reconciliation, and brokerage collection activities across multiple products and regions. The successful candidate will play a key role in maintaining strong client relationships through timely communication, accurate reporting, and efficient resolution of billing or reconciliation issues. This role offers excellent exposure to internal teams across Front, Middle, and Back Office, and opportunities for professional development within a fast‑paced financial environment.

Onsite for 3 days per week.

Key Responsibilities

  • Assist in the preparation, validation, and distribution of client brokerage invoices across global trading products.
  • Support the reconciliation of executed trades, ensuring data accuracy and consistency between systems.
  • Monitor and follow up on outstanding brokerage payments in line with agreed collection targets.
  • Maintain accurate records of client interactions, billing queries, and collection activities.
  • Respond promptly to client queries regarding billing or trade discrepancies, escalating where appropriate.
  • Collaborate with internal stakeholders—Front Office, Middle Office, Finance, and Operations—to resolve client or trade‑related issues efficiently.
  • Assist in the maintenance and update of client static data and billing information in relevant systems.
  • Support the production of management and client reports on brokerage collections, outstanding items, and key metrics.
  • Contribute to process improvement initiatives and system enhancements to drive operational efficiency.
  • Ensure compliance with internal policies, audit requirements, and escalation procedures for overdue balances.

Skills / Experience Required

  • Strong communication and interpersonal skills, with a client‑focused approach.
  • Experience in financial services, operations, or client administration preferred.
  • Basic understanding of brokerage, trading, or financial markets advantageous.
  • Strong numerical and reconciliation skills with attention to detail.
  • Proficient in Microsoft Office, particularly Excel and Outlook.
  • Ability to prioritise and manage multiple tasks within tight deadlines.
  • Proactive and organised, with a strong sense of accountability and team collaboration.

System Knowledge

  • Microsoft Office (Excel, PowerPoint, Outlook).
  • Experience with reconciliation or billing systems desirable.
  • Knowledge of financial systems such as Atlantis or FIA Tech Docs advantageous.
