Bids & Tender Specialist (maternity leave cover)
Full‑time position in Warsaw, Poland (12–18 months). Cover maternity leave.

Purpose
Responsible for tender preparation in accordance with the Tender Procurement Law and prices approved in the AFA application.
You Will Be Responsible For
- Comprehensive tender preparation and submission tasks (document preparation, ensuring all necessary approvals before finalization, collecting cross‑reading confirmations)
- Maintaining updated tender critical information (conditions, deadlines, correspondence with purchaser)
- Keeping the Tender databases (CM, up to date) and archiving all documentation on the network disk
- Processing bank guarantees if required
- Product knowledge necessary to decode the tender
- Follow‑up and control of price acceptance in the AFA application
- Processing of prices and samples in the AFA application
- Double checking prices offered in tender documentation with AFA application and finally with contract
- Coordinating activities related to signing the contract
- Cooperating with the Legal department, processing annexes, contracts, appeals
- Cooperating with business departments in the preparation of offers
- Monitoring and tracking changes in the Public Procurement Law
- Understanding local regulatory compliance and the global J&J requirements
- Good knowledge of the portfolio, controlling changes in discontinued and newly introduced products
- Supporting tender procedures
- Monitoring KPIs related to the tender
Qualifications / Requirements
- University/Bachelor’s degree
- Previous experience with Public Procurement Law or in a medical environment preferred
- Excellent computer skills (Microsoft Office, MS Excel)
- Ability to work under time pressure
- Attention to detail
- High level of energy, engagement and responsibility
- Strong organisational skills and ability to multi‑task
- Flexibility to work in a dynamic, changing environment
- Excellent communication skills and good working relationships
- Business awareness and focus on achieving common goals
- Highly developed interpersonal skills, responsibility and ethics
- Fluent English and native Polish
